POSITION SUMMARY:

The Human Resources Generalist provides day-to-day administrative and operational support for human resources functions at Hometown Health Center. This position coordinates HR data management, applicant tracking, hiring and onboarding support, training and evaluation tracking, personnel documentation, and other routine HR processes in accordance with established policies, procedures, and applicable federal and state requirements.

Working under the direction of the Director of Operations, the Human Resources Generalist helps ensure HR processes are completed accurately, timely, and confidentially. This role supports a positive employee experience by maintaining organized documentation, monitoring required HR process steps, and providing dependable administrative support to employees and supervisors.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Recruiting, Hiring, and Onboarding

  • Tracks open positions, employment applications, interview activity, hiring steps, and onboarding progress.
  • Assists with posting positions, distributing applicant materials, scheduling interviews, and communicating routine follow-up with candidates.
  • Maintains applicant tracking records and hiring documentation in an organized and timely manner.
  • Prepares onboarding packets and ensures required pre-employment and new hire documents are completed and returned.
  • Coordinates new employee onboarding tasks, including collection of payroll, benefits, policy acknowledgment, and system access paperwork.
  • Conducts or assists with new employee orientation and helps employees understand basic policies, procedures, and benefit enrollment deadlines.
  • Enters and updates employee information in HR, payroll, benefits, and related tracking systems accurately and on time.
  • HR Data Management and Recordkeeping

  • Oversees the accuracy and maintenance of employee records and routine HR documentation in compliance with organizational standards and applicable legal requirements.
  • Processes and tracks HR data changes related to hiring, onboarding, employee status changes, benefits, training, evaluations, and terminations, ensuring information is complete, timely, and properly documented.
  • Maintains and updates job descriptions, HR templates, tracking logs, spreadsheets, and related documents to support standardized HR processes.
  • Monitors completion of required employment documentation, follows up on outstanding items, and helps maintain audit-ready personnel files and supporting records.
  • Maintains I-9 records and related compliance tracking in accordance with established procedures and applicable requirements.
  • Coordinates employment and income verification requests and prepares appropriate supporting documentation.
  • Prepares routine HR correspondence, status updates, and administrative reports to support HR operations and leadership follow-up.
  • Training and Compliance Tracking

  • Tracks completion of required employee training and sends reminders regarding due dates and missing items.
  • Maintains training records, attendance logs, certifications, and related documentation.
  • Assists with scheduling employee orientation, annual training, and other assigned staff training activities.
  • Supports tracking of employee performance evaluations and follows up with supervisors regarding due dates.
  • Helps maintain evaluation forms and other routine HR process documents so they remain current and ready for use.
  • Assists with routine compliance tracking related to personnel files, required notices, and HR documentation.
  • Employee Support and HR Administration

  • Responds to routine employee questions regarding forms, onboarding steps, benefit enrollment timelines, and standard HR processes.
  • Assists with benefit administration tasks such as enrollment paperwork, status changes, terminations, and communication with vendors as directed.
  • Helps process employment changes and terminations, including record updates, benefit notifications, and file closeout tasks.
  • Assists with leave, workers' compensation, and incident documentation tracking as assigned.
  • Maintains confidentiality of personnel information and handles records with a high level of discretion.
  • Maintains effective working relationships with employees, supervisors, vendors, and outside agencies.
  • Completes all required organizational training for the current year.

    The employee is regularly required to sit for extended periods, stand, walk, talk, and hear. The employee must be able to operate standard office and computer equipment and may occasionally lift up to 20 pounds. Vision requirements include close vision, distance vision, depth perception, and the ability to adjust focus. Regular travel between clinic sites is required; occasional travel outside the region for conferences, trainings, or partner meetings is expected.

    Work is performed across multiple medical office environments that are fast-paced and subject to frequent interruptions. This role requires the ability to manage competing priorities calmly and professionally, including navigating complex personnel matters and high-stakes operational decisions. Regular travel to all HHC practice locations is expected.

    QUALIFICATIONS NEEDED FOR POSITION:

    Education

  • Associate’s degree in Human Resources, Business Administration, or related field required;
  • Bachelor’s degree in Human Resources, Business Administration, or related field preferred.
  • Experience

  • Minimum of 2–3 years of experience in a human resources, HR assistant, or payroll/benefits support role, preferably in a healthcare or similar regulated environment.
  • Demonstrated experience with HR data entry, personnel file maintenance, and routine HR document preparation.
  • Experience supporting recruiting and onboarding processes, including posting jobs, tracking applicants, scheduling interviews, and coordinating new-hire paperwork.
  • Experience working with HRIS, payroll, or applicant tracking systems, plus proficiency with Microsoft Word, Excel, Outlook, and other standard office software.
  • Strong attention to detail and accuracy, especially in data entry, recordkeeping, and document handling.
  • Effective written and verbal communication skills and ability to work with staff at all levels while maintaining a high level of confidentiality.
