Job Description
POSITION PURPOSE
The Marketing / Digital Production Assistant provides day-to-day coordination and production support for OIC, Inc. marketing initiatives. Working under the direction of marketing leadership, this role helps keep campaigns, digital content, website updates, CRM records, creative requests, and cross-department projects organized, accurate, and on schedule. The position is execution-focused and supports established marketing plans rather than owning organizational marketing strategy.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Promote and represent the mission, vision, values, programs, and services of OIC, Inc.
- Coordinate assigned marketing campaigns from approved plans by maintaining timelines, task lists, content calendars, approvals, assets, and follow-up items.
- Prepare, format, proofread, and publish marketing content for social media, email, newsletters, web pages, print materials, presentations, and other approved channels.
- Complete routine website and content management system updates, including posting approved copy, images, links, events, and program information; identify outdated or inaccurate content for correction.
- Maintain accurate contact, campaign, and engagement data in the customer relationship management (CRM) system and related marketing platforms; support list management, data cleanup, and basic reporting.
- Use approved AI-enabled tools and digital software to support drafting, content adaptation, research, scheduling, production, and workflow efficiency while following organizational review, privacy, and brand standards.
- Create and update marketing materials using tools such as Canva, Adobe Creative Suite, Microsoft 365, or similar platforms, using established templates and brand guidelines.
- Schedule and participate in meetings with departments and project teams to gather information, clarify deliverables, document decisions, and communicate next steps.
- Build effective working relationships across departments to obtain timely content, approvals, photos, program updates, and other materials needed to complete assignments.
- Support event promotion and logistics, including invitations, registration materials, signage, vendor coordination, on-site materials, and post-event follow-up.
- Monitor campaign activity using available platform data and prepare recurring summaries of results; flag trends, errors, delays, or items requiring leadership review.
- Organize shared files, creative assets, production requests, campaign documentation, and marketing calendars so information is current, accessible, and well structured.
- Manage multiple assignments in a changing environment, independently organize work within established priorities, and seek clarification when decisions or approvals are needed.
- Perform other related duties as assigned.
QUALIFICATIONS
Associate's degree in Marketing, Communications, Digital Media, Business, or a related field required. Bachelor's degree in a related field preferred.
Minimum of two years of related experience in marketing support, campaign coordination, digital content, communications, or a comparable role required. Hands-on experience with CRM systems, website or content management updates, digital marketing software, and AI-enabled productivity or content tools required. Experience supporting multi-channel campaigns and working with cross-functional teams preferred.
