Job Description

Records Senior Coordinator

The Senior Records Coordinator is responsible for assigned tasks associated with the implementation of and compliance with the Firms Records Management Program. Performs technical tasks to support the electronic data, document, and records management operational needs of the Firm.

Provides hands-on technical assistance with systems for document imaging, document management and email management. Provides administrative support for the daily records management needs of the lawyers, paralegals, secretaries, and administrative management.

Duties and Responsibilities:

  • Play an active role in one or more of the Firms software offerings such as CAM, SimplyFile, PostMark, NetDocuments, Intapp Walls, or the UIPath BOT.

  • Responsible for creating off-site storage retrieval lists for purposes of the destruction or scan and destruction of records.

  • Responsible for assisting with data hygiene projects (in the document management system or the records management system).

  • Process hardcopy and electronic records in conjunction with the transfer of matters to the new Firm.

  • Carry out tasks for the collection, review and release of hardcopy and electronic records necessary to comply with file releases associated with client requests.

  • Execute tasks for hardcopy and electronic records disposition.

  • Ensure security and protection of the Firms records held on-site.

  • Provide customer service to all users, attorneys, paralegals, and admin staff to include document management system and email management requests.

  • Assist with identifying legacy storage boxes identify for destruction.

  • Participate in all incoming attorney Records Review Orientation training.

  • Work on special projects as required ranging from moderately difficult to complex.

Education and/or Experience:

Required:

  • Minimum of seven years experience in records management, document management, library services or document conversion (scanning) operations.

  • Proficient in Microsoft Word, Microsoft Excel, and Microsoft Outlook.

  • Proficient with records management applications, document management applications and similar systems.

  • Strong computer and database skills; knowledge of classification, computer indexing and peripheral equipment usage such as bar code technology, document scanning, etc.

  • Keyboard skills equivalent to 30 WPM.

  • Must be able to work overtime as required.

Preferred:

  • Prior law firm or professional services firm experience.

The target salary range for this role is:

$53,000 - $67,600 if located in Illinois.

Salaries vary by location and are based on numerous factors, including, but not limited to, the relevant market, skills, experience, and education of the selected candidate.
