Job Summary

The Junior Operations Analyst supports the General Operations Team by completing assigned operational, reporting, referral intake, data review, client-service, and project-related tasks accurately and within required timelines. This entry-level role requires attention to detail, clear communication, sound follow-through, and the ability to follow documented procedures while developing practical knowledge of internal systems, client platforms, reporting processes, and operational outcomes. Through assigned work and structured training, the position is intended to build foundational operational knowledge, reporting discipline, stakeholder awareness, and basic analytical skills.

Key Responsibilities

  • Process assigned operational work, including referral intake, service and firm transfers, mailbox monitoring, status reports, exception data clean-up, and related follow-up.
  • Retrieve, prepare, and support client and internal reporting materials, including client status reports, MBR presentation templates, dashboards, daily reports, monthly reporting, and other assigned deliverables; format, customize, or otherwise prepare data from internal systems or external platforms for presentation, review, or analysis as required.
  • Conduct preliminary quality assurance reviews of assigned reports, data, and operational processes prior to delivery to support accuracy, relevance, completeness, and timely completion.
  • Identify aged items, data inconsistencies, basic exceptions, or process gaps within assigned work; escalate concerns to leadership or appropriate stakeholders; and provide reporting, data review, and follow-up support to improve productivity and system performance as needed.
  • Build professional working relationships with internal stakeholders and report users through clear communication, proactive follow-up, and support of service expectations.
  • Develop a working understanding of foreclosure, bankruptcy, firm structure, departmental functions, assigned report outcomes, and the operational purpose of assigned work.
  • Maintain accurate records, reporting instructions, and training materials for assigned work to ensure related procedures remain current, complete, and aligned with approved process updates.

Required Skills and Competencies

  • Strong attention to detail with the ability to complete assigned work accurately and within required deadlines.
  • Ability to follow documented procedures, maintain organized working notes or reporting instructions, work independently after training, manage multiple priorities, and seek clarification when direction, information, instruction, or resources are needed to meet deadlines and required outcomes.
  • Clear written and verbal communication skills, including the ability to communicate questions, risks, delays, and needed follow-up in a timely and professional manner.
  • Basic analytical and critical-thinking skills, including the ability to recognize trends, exceptions, inconsistencies, and potential process concerns in assigned work.
  • Basic Excel skills, including sorting, filtering, formatting, and simple formulas, with willingness to develop pivot table, dashboard, and reporting skills over time.
  • Moderate computer proficiency, including Microsoft Office, Word, PowerPoint, internal systems, client platforms, and legal databases.
  • General understanding of legal terminology, foreclosure processes, bankruptcy workflows, or creditor rights operations preferred.

Education and Experience

  • Bachelor’s degree preferred; relevant certification, training, or equivalent experience related to the position will also be considered.
  • Entry-level candidates will be considered; training will be provided for firm-specific systems, reporting processes, operational workflows, and assigned responsibilities, with prior experience in operations, legal support, financial analysis, reporting, foreclosure, bankruptcy, or creditor rights work preferred but not required.
  • Experience with Excel, data review, dashboards, productivity reporting, client-service reporting, or similar reporting functions is a plus.

Success Factors

  • Consistently delivers assigned work on time, maintains quality through appropriate review, and follows through without repeated prompting.
  • Understands both how to complete assigned tasks and why the work matters to stakeholders, clients, team performance, and broader operational outcomes.
  • Communicates proactively when issues, delays, inconsistencies, missing information, or improvement opportunities are identified.
  • Demonstrates accountability, professionalism, curiosity, and a willingness to learn, ask appropriate questions, and grow within the General Operations Team.
