This role is ideal for someone who enjoys being at the center of the action, takes ownership of their work, and thrives in a fast-paced environment. You will serve as the face of our Atlanta office, ensuring day-to-day operations run smoothly while supporting two Executive Vice Presidents with administrative and organizational needs. Rather than waiting to be asked, they anticipate needs, identify opportunities to improve processes, and consistently deliver a high level of service to employees, visitors, and leadership.
The Office Manager & Administrative Assistant will report to the Executive Assistant and is responsible for managing the front office experience, coordinating office operations, supporting employees and visitors, and providing administrative support to two Executive Vice Presidents. This role requires exceptional organization, professionalism, attention to detail, and the ability to manage multiple priorities simultaneously.
Approximately 60% of the role is focused on office management and workplace coordination, with 40% dedicated to executive administrative support.
Office Management
- Serve as the primary point of contact for employees, guests, vendors, and visitors.
- Greet and assist visitors, ensuring a professional and welcoming office environment.
- Manage front desk responsibilities, including answering phones and directing inquiries.
- Coordinate vendor visits and service providers, including building management, maintenance, cleaning services, and office suppliers.
- Coordinate conference room scheduling and meeting logistics as needed.
- Maintain office common areas, including conference rooms, reception areas, and breakrooms.
- Manage office supplies and inventory, ensuring the office remains fully stocked and organized.
- Coordinate mail, shipping, package deliveries, and office communications.
- Maintain office seating chart
- Work with HR to coordinate workplace logistics for new hires, including workspace assignments, office access, parking, and badge administration.
- Assist with employee events, team lunches, and company gatherings.
- Help create a positive and professional workplace experience for employees and guests.
Administrative Support
- Provide administrative support to two Executive Vice Presidents.
- Manage calendars, scheduling, and meeting coordination.
- Arrange travel, transportation, and accommodations as needed.
- Prepare and submit expense reports.
- Coordinate meeting materials, presentations, and supporting documentation.
- Take meeting notes and track action items when required.
- Assist in preparing executive presentations, reports, and board-related materials.
- Handle confidential information with professionalism and discretion.
- Anticipate administrative needs and proactively support leadership priorities.
Preferred:
- 2–5 years of experience in an administrative, office management, receptionist, or related role.
- Prior experience supporting senior executives and/or prior office management or workplace coordination experience.
- Experience coordinating meetings, events, and vendor relationships
Required:
