Job Description
The Practice Manager for Pulmonary Medicine is responsible for the overall leadership, administration, and operational management of the pulmonary practice. This position oversees daily clinic operations, staff performance, provider support, patient satisfaction, regulatory compliance, financial stewardship, and quality initiatives. The Practice Manager collaborates with physicians, advanced practice providers, clinical staff, and organizational leadership to ensure efficient workflows, exceptional patient care, and achievement of departmental goals. The role requires strong leadership skills, operational expertise, and the ability to foster a positive, patient-centered culture while supporting the mission and strategic objectives of Ellis Medicine.
Essential Duties and Responsibilities Operations Management- Direct and oversee the daily operations of the Pulmonary Medicine practice to ensure efficient, high-quality patient care.
- Monitor patient flow, appointment scheduling, provider templates, and access metrics to optimize operational performance.
- Develop, implement, and maintain administrative and clinical workflows that support patient-centered care.
- Identify opportunities for process improvement and implement operational efficiencies.
- Ensure adequate staffing levels and effective resource allocation to meet patient and organizational needs.
- Recruit, onboard, train, supervise, and evaluate clinical and administrative staff.
- Foster a collaborative and professional work environment that promotes employee engagement and accountability.
- Conduct performance evaluations, provide coaching, and implement corrective actions when necessary.
- Ensure staff compliance with organizational policies, procedures, and regulatory requirements.
- Coordinate and facilitate staff meetings, education, and professional development activities.
- Assist in the development and management of departmental budgets.
- Monitor productivity, expenses, staffing levels, and resource utilization.
- Review operational and financial performance indicators and implement corrective action plans as needed.
- Collaborate with organizational leadership regarding capital expenditures, staffing plans, and strategic growth opportunities.
- Support revenue cycle initiatives including charge capture, billing processes, and reimbursement optimization.
- Ensure compliance with federal, state, local, and organizational regulations, policies, and standards.
- Support quality improvement initiatives and patient safety programs.
- Monitor key performance indicators, patient satisfaction scores, and quality outcomes.
- Maintain readiness for audits, accreditation reviews, and regulatory inspections.
- Ensure compliance with HIPAA and patient confidentiality requirements.
- Partner with physicians and advanced practice providers to support operational objectives and practice growth.
- Serve as a liaison between providers, staff, and leadership.
- Address patient concerns and complaints in a timely and professional manner.
- Promote exceptional customer service and a positive patient experience.
- Support provider recruitment, onboarding, scheduling, and retention efforts.
- Associate's Degree required.
- Bachelor's Degree in Healthcare Administration, Business Administration, Healthcare Management, or related field preferred.
- Minimum of three (3) years of healthcare or physician practice management experience required.
- Previous supervisory or leadership experience required.
- Specialty practice management experience preferred.
- Knowledge of ambulatory care operations and healthcare regulations.
- Strong leadership, organizational, and interpersonal skills.
- Proficiency with Electronic Medical Record (EMR) systems.
- Proficiency with Microsoft Office applications.
- Effective written and verbal communication skills.
- Strong analytical and problem-solving abilities.
- Ability to manage multiple priorities in a fast-paced environment.

Salary Range: $16.24-21.28 /hour Pay is based on experience, skills, and education. Exempt positions under the Fair Labor Standards Act (FLSA) will be paid within the base salary equivalent of the stated hourly rates. The pay range may also vary within the stated range based on location.
