Administrative Assistant - Legal and Development
Direct Report: Chief of Staff
Exempt Status: Hourly, Non-Exempt, OT Available
Overview
The Legal and Development Administrative Assistant provides administrative support to the CEO, Chief of Staff, Paralegal, and Development team. The position assists with organizing legal and real estate transaction files, tracking routine deadlines, coordinating signatures, maintaining entity records, and supporting communications with title companies, governmental agencies, consultants, and other project participants.
Requirements:Major Responsibilities
· Provide administrative support to the CEO, Chief of Staff, Paralegal, and Development team.
· Manage calendars, appointments, correspondence, and routine administrative requests.
· Create, organize, and maintain electronic legal, real estate, development, and corporate files.
· Assist with opening transaction files and maintaining closing, due diligence, and project checklists under the direction of the Paralegal or Chief of Staff.
· Track assigned dates and deadlines and provide reminders to the appropriate team members.
· Assist with gathering title documents, surveys, property information, entity documents, reports, and other due diligence materials.
· Coordinate signatures, notarizations, document delivery, and recording instructions as directed.
· Prepare routine signature packets, transmittal correspondence, forms, and document summaries using established templates.
· Assist the Development team with obtaining property ownership information, signatures, affidavits, easements, bonds, sureties, and governmental forms.
· Communicate with title companies, consultants, governmental agencies, and internal team members to obtain information or confirm the status of assigned matters.
· Maintain annual reports, entity records, and routine company filings under supervision.
· Review documents for basic completeness, including signatures, dates, exhibits, and notarizations.
· Prepare routine reports and status updates for management.
· Provide backup support to the Front Desk Coordinator as needed.
· Perform other administrative duties and special projects as assigned.
Knowledge and Skill Requirements
· One to three years of administrative experience in a professional office environment preferred.
· Prior exposure to a law firm, real estate company, title or escrow company, construction company, governmental agency, or real estate development organization is preferred.
· Interest in learning legal administration, real estate transactions, and real property development processes.
· Strong organizational skills and the ability to manage multiple assigned tasks and deadlines.
· Excellent attention to detail, including names, dates, signatures, exhibits, and document formatting.
· Ability to follow established procedures, use checklists, ask appropriate questions, and seek direction when needed.
· Strong written and verbal communication skills.
· Proficiency in Microsoft Word, Excel, Outlook, Adobe Acrobat, and electronic filing systems.
· Ability to maintain confidentiality and use discretion.
· Ability to work independently on assigned tasks while accepting direction and feedback.
· Dependable, responsive, professional, and committed to completing work accurately and timely.
· Exemplify high standards of honesty, integrity, and ethical conduct.
Education and Experience
· High school diploma or equivalent required.
· Previous administrative experience in legal, real estate, title, escrow, construction, development, or a related field is preferred.
· An equivalent combination of education and experience will be considered.
