Job Description

Job Summary:

Ice Miller LLP, a national law firm, is seeking an experienced Accounts Payable Supervisor. As an AP Supervisor you will be responsible for overseeing as well as performing functions within the accounts payable process, ensuring accurate and timely payments, and maintaining financial records while managing and configuring the Emburse invoice and expense management platform.

Essential Job Duties:

  • Oversee the daily accounts payable operations, payment runs, and invoice and expense entries.
  • Administration of Emburse platform including user access, corporate card settings, and expense policies, while troubleshooting software errors, answering staff questions, and optimizing the user interface for travel and expense reporting.
  • Supervise staff including goal setting, training, coaching, performance management and problem resolution.
  • Provide coverage for existing Accounts Payable staff, which may include weekly payment run, vendor invoice entry, and expense report processing.
  • Review AP batches for accuracy including researching questionable items, coding, approvals, and ensure the accuracy of financial documents for payment, auditing and tax purposes.
  • Ensure excellent customer service is provided to both vendors and internal stakeholders.
  • Protect business against unintentional overpayment.
  • Practice effective monitoring to ensure payments are made to vendors in a timely manner, while adhering to credit terms.
  • Learn, understand, and enforce firm policies and procedures.
  • Reconcile monthly credit card transactions.
  • Responsible for annual 1099 Reporting.
  • Assists Accounts Payable Manager with preparing ad-hoc reports as requested.
  • Create an environment of continuous process improvement and implement streamlining opportunities.
  • Assist with special projects as requested.

Minimum Requirements:

  • Bachelor’s degree in Accounting, Finance or related field preferred, or equivalent work experience.
  • 5+ years of Accounts Payable experience.
  • 2+ years of proven experience supervising staff and managing processes.
  • 2+ years of Emburse Enterprise administration experience.
  • Knowledge of accounting principles and procedures.
  • Prior 1099 reporting knowledge.
  • Strong organizational and problem-solving skills.
  • High level of accuracy and attention to detail.
  • Excellent analytical and communication skills.
  • Able to work independently and meet tight deadlines.
  • Proficient with Microsoft Office, including Excel.

Equipment Operated:

This position requires extensive use of a computer and telephone. This position also requires the use of printing, copying, faxing and scanning equipment.

Ability to communicate effectively, verbally and in writing, with a diverse group of people.

Work Environment:

While performing the duties of this job, the employee may be exposed to weather conditions while traveling. The noise level in the work environment is usually moderate.
