Job Description

This is a part-time position, averaging approximately 22.5 hours per week, with a consistent schedule established based on business needs.

JOB SUMMARY

The Legal Assistant supports the General Counsel – Leasing & Construction in all aspects of providing internal legal counsel to the Company. This position is responsible for drafting lease documents, managing and organizing commercial lease files, coordinating internally and externally, and maintaining accurate and confidential records. The Legal Assistant works closely with various departments and department directors in performing their duties.

ESSENTIAL FUNCTIONS

  • Prepares initial drafts of commercial leases, amendments, and related contracts utilizing various internal contract templates.
  • Processes revisions to complex real estate, corporate and legal documents during contract negotiations.
  • Maintains all legal forms utilized by General Counsel - Leasing & Construction.
  • Ensures all documents comply with legal standards and are accurately formatted and completed in a timely manner.
  • Transcribes dictation by machine from hand-written notes or voice recordings.
  • Drafts correspondence and corresponds with and distributes documents to external parties on behalf of the General Counsel - Leasing & Construction.
  • Maintains all correspondence, interoffice memos, meetings, and notes for the General Counsel - Leasing & Construction.
  • Manages and maintains commercial lease files and documentation, ensuring files are organized and updated regularly.
  • Maintains and organizes electronic and physical records of real estate, corporate and legal documents.
  • Conducts legal research on tenants and regulations to support the General Counsel's work.
  • Prepares and submits expense reports, invoices, and other administrative documents as needed.
  • Provides general administrative support, including answering phones, responding to emails, and handling correspondence.
  • Manages calendars, schedules appointments, and coordinates travel arrangements for the General Counsel.
  • OTHER DUTIES

  • Provides administrative functions as a backup for the Sales Department.
  • Supports special projects related to litigation, leasing, construction, and real estate transactions as directed by the General Counsel.
  • Assists in the preparation of presentations, reports, and other materials for internal and external meetings.
  • Performs other duties as assigned.
  • EDUCATION & EXPERIENCE

  • Associate’s Degree in Paralegal Studies, Legal Studies, or a related field required.
  • A minimum of three years as a Legal Assistant, Paralegal, or in a similar legal support role..
  • Experience coordinating and communicating effectively with internal teams, external counsel, executives, clients, and vendors.
  • Demonstrated experience drafting, reviewing, and revising legal documents such as leases, contracts, amendments, and legal correspondence.
  • Demonstrated experience managing multiple priorities, deadlines, and confidential information with accuracy and attention to detail.
  • KNOWLEDGE, SKILLS & ABILITIES

  • In-depth knowledge of legal terminology, court procedures, and document preparation.
  • Knowledge of effective document management practices, including electronic and physical filing systems, and document retention policies.
  • Skilled in using legal practice management software, document management systems, and the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent verbal and written communication skills.
  • Strong interpersonal skills to build effective working relationships with team members, department directors, external counsel, and other stakeholders.
  • Ability to identify potential issues, analyze options, and recommend practical solutions related to legal matters and commercial lease files.
  • High level of attention to detail to ensure accuracy in legal documents, commercial lease files, and compliance-related tasks.
  • Ability to handle sensitive and confidential information with a high level of discretion and professionalism.
  • Capable of working independently with minimal supervision while also collaborating effectively with various departments and stakeholders.
  • Strong ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines in a fast-paced environment.
  • Capacity to work effectively under pressure, manage tight deadlines, and handle competing priorities.

  • Ability to communicate effectively with associates, supervisors, and external stakeholders in person, over the phone, or via email.  
  • Office-based environment with standard office equipment and ergonomic furniture. 
  • Exposure to typical office noises such as phone calls, conversations, and office equipment operation. 
  • Work will be performed in an in-office environment.
