About This Position


Position Overview

This position provides financial, accounting, and asset management support to the Accounts Payable and Asset Management areas. The individual will be responsible for processing payments, managing account balances, and maintaining asset records.

Essential Duties and Functions

  • Prepare checks and vouchers for payment.
  • Respond to vendor and employee inquiries about payment status.
  • Print accounts payable reports and maintain related files.
  • Prepare analysis of accounts, as required.
  • Assist in monthly closing processes.
  • Generate payments to vendors, students, and employees with approved backup documentation.
  • Research account and vendor balances to ensure invoice and reimbursement accuracy.
  • Match invoices with purchase orders and sort invoices from daily mail.
  • Calculate reimbursement backup receipts.
  • Correct payment mistakes and discrepancies.
  • Enter data for manual payments, wire transfers, payroll checks, and payroll data entry.
  • Produce accurate aging reports to track outstanding liabilities and ensure timely payments.
  • Organize and maintain accurate records of all transactions in the accounts payable system.
  • Perform other accounts payable-related duties as assigned.

Education

Completion of a technical, community college, or certificate program

Experience

1-2 years in accounting.

Supervision:

This role has no supervisory responsibility.

None required.

  • Ability to read, analyze, and interpret governmental regulations and professional/business periodicals.
  • Ability to write reports, business correspondence, and procedure manuals.
  • Ability to effectively present information and respond to questions from designated groups.

Mathematics

  • Ability to work with mathematical concepts.
  • Ability to apply fractions, percentages, ratios, and proportions to practical solutions.

Reasoning Ability

  • Ability to read, analyze, and interpret governmental regulations and professional/business periodicals.
  • Ability to write reports, business correspondence, and procedure manuals.
  • Ability to effectively present information and respond to questions from designated groups.
