Job Description
The Intermediate Contract Administrator supports the successful delivery of architectural projects throughout the construction phase by assisting with contract administration processes, coordination, and clear, well-organized documentation. Reporting to the Team Lead (Contract Administration) and working closely with Project Leads and Principals, this role contributes to maintaining momentum, clarity, and alignment between design intent and construction execution.
This position is well suited to candidates with experience in architectural practice or project coordination within a construction or construction management environment. Candidates with contractor-side experience who are interested in transitioning into an architectural practice are encouraged to apply.
POSITION OVERVIEW
Construction Administration (85%)
- Assist with the administration of construction contracts, supporting consistent construction administration processes across projects
- Log, track, and help coordinate RFIs, shop drawings, site instructions, and change documentation using Part3, ensuring timely routing, clear status visibility, and consistent record‑keeping
- Assist with reviewing contractor payment applications, change orders, and related documentation
- Contribute to CA documentation including PCNs, change orders, site review reports, and deficiency lists
- Maintain accurate and organized contract records, correspondence, and document revisions
- Participate in site visits as required and assist with site observation reporting
- Support internal coordination to ensure construction documents are kept current, properly issued, and that discrepancies or conflicts are identified and communicated promptly
- Support clear communication and coordination between the client, engineering consultants, contractors, and permitting authorities
- Support Project Leads by monitoring project scope during construction, identifying emerging issues, and escalating concerns to the Team Lead (Contract Administration)
- Coordinate consultant inputs during construction administration, including reviews and responses
- Assist with construction closeout activities, including coordination and review of manuals, warranties, and post-construction documentation to support a smooth project handover
Quality, Process & Team Support (15%)
- Support internal QA/QC reviews related to construction‑phase modifications
- Assist with design reviews to confirm constructability and alignment with design intent
- Contribute to the continuous improvement of CA workflows and documentation standards
- 5–7 years of progressive experience in architectural construction administration, architectural technology, or construction project coordination within the AEC industry
- Solid understanding of construction documents, contract administration procedures, and typical construction‑phase deliverables
- Experience tracking RFIs, shop drawings, and changes; familiarity with Part3 or similar construction administration software is considered an asset
- Working knowledge of building systems, construction sequencing, and coordination between design and construction teams
- Strong organizational skills and attention to detail across multiple concurrent projects
- Clear, professional communication skills with consultants, contractors, and clients
- Practical, solution‑oriented approach to problem solving that respects design intent
- Comfortable working collaboratively within a project team, taking ownership of assigned tasks while seeking guidance when appropriate
