About This Position

Description:

The Housing Services Supervisor plays a critical leadership role in coordinating, overseeing, and enhancing housing and recovery residence operations across all Janus of Santa Cruz locations. This position ensures smooth referral intake, accurate census management, effective house coordination, regulatory compliance, strong cross-department collaboration, and high-quality client experiences. The role works closely with program leadership, clinical teams, facilities, finance, ECM, and peer support to support safe, stable, and recovery-oriented housing services.

Key ResponsibilitiesHousing Operations & Referral Management
  • Manage all incoming referrals to Janus housing and recovery residence locations, including oversight of waitlists, screening, and eligibility determinations.
  • Coordinate client placement with program leadership and clinical teams to support collaborative and integrated treatment approaches.
  • Organize transportation for incoming residents in collaboration with the clinical team.
  • Maintain accurate housing census data for all sites, ensuring timely and precise documentation of admissions and discharges within the electronic health record (EHR).
  • Monitor housing census KPIs and implement strategies to improve operational efficiency and team productivity.
Staff Coordination & Support
  • Coordinate and oversee House Coordinator schedules, timecards, and daily operational coverage.
  • Support the PAC department with recruitment, interviewing, hiring, and onboarding of House Coordinators.
  • Provide guidance and support to House Coordinators in managing grievances, challenging situations, and client-related concerns.
  • Participate in bi-weekly on-call rotations to address after-hours housing questions and concerns.
Facilities, Safety & Compliance
  • Work closely with Facilities to coordinate site inspections, maintenance, and repairs as needed.
  • Complete and track facilities work orders for housing sites.
  • Ensure all sites meet CARF standards, including conducting safety walk-throughs, orientations, and compliance checks.
  • Ensure weekly house meetings are occurring at each site and properly documented; provide coverage, direct supervision, observation, and feedback as needed.
  • Maintain positive relationships with neighbors and landlords; respond to grievances and concerns to preserve community partnerships and housing site stability.
Financial & Administrative Support
  • Support the revenue cycle and finance teams with housing-related financial processes, including rent collection, documentation, authorization monitoring, and billing support.
  • Assist with project planning by setting goals, timelines, work plans, and regular meeting agendas; ensure all project goals are completed on time.
  • Assist with planning and coordinating meetings, trainings, and housing-related events.
Food Services & Resident Support
  • Improve and streamline the food ordering process across housing sites.
  • Develop and maintain food inventories to prevent duplication and ensure efficient use of resources.
  • Explore and coordinate alternative food options for residents, including medically tailored meals when appropriate.
  • Partner with ECM, peer teams, and other internal stakeholders to ensure residents receive appropriate services, resources, and referrals.

Requirements: QualificationsRequired
  • Minimum of two (2) years experience in a behavioral health or human services setting.
  • Minimum of one (1) year of coordinator, supervisory, or leadership experience.
  • Experience working within multi-disciplinary teams.
  • Strong conflict management, de-escalation, and problem-solving skills.
  • Knowledge of HIPAA and 42 CFR Part 2 confidentiality requirements.
  • Demonstrated ability to use internal and external information systems, including EHRs, SCHIO, Microsoft Office products, insurance portals, and other required platforms, with timely and accurate documentation.
  • Ability to travel between housing sites as required.
Preferred / Additional Credentials
  • Registered or Certified Counselor, or Certified Peer (preferred).
  • Completion of Staff Vehicle Training (or ability to complete upon hire).
