THE ROLE

Note: This is not a traditional Executive Assistant role. It is an always-on, high-intensity position focused on delivering solutions across the Family Office, Executive Office, and portfolio companies. If you’re looking for a 9–5, calendar / inbox management-focused role in a corporate setting, this is not the right opportunity.

We are seeking a driven, high-performance Executive Support Associate to provide direct leverage to the Founder and Chief of Staff. This is not a traditional EA role — it’s a scrappy, high-intensity, always-on position supporting the Executive Office, Family Office, and portfolio companies.

You’ll be in the middle of everything that matters: managing multi-million-dollar construction projects, orchestrating seamless global travel for the Founder and family, creating bulletproof itineraries, handling high-value assets with total discretion, and making life run effortlessly behind the scenes. You’ll work side-by-side with the Chief of Staff to anticipate needs, remove friction, and deliver solutions — never problems.

You’ll also take on special projects where no two days look the same — one week you might be negotiating with a global vendor, the next coordinating a complex family move or travel itinerary, and the next building systems that keep the portfolio businesses operating at speed. Every day brings a new challenge that requires agility, creativity, and composure.

This role is demanding, exhilarating, and career-defining. The Founder moves fast and so must you. Words like “can’t” or “not possible” don’t exist in your vocabulary. This is not a 9–5, not a corporate admin job, and not for everyone. But if you’re hungry, sharp, and thrive in high-stakes chaos, this role will put you years ahead of your peers. You’ll get a front-row seat to global businesses, elite decision-making, and world-changing projects — while being rewarded with top-of-market compensation, growth, and opportunities you won’t find anywhere else.

WHO YOU ARE

  • Scrappy & resourceful – You find ways forward, no matter what.
  • Fast & decisive – You thrive on speed, agility, and execution under pressure.
  • Smart thinker & driver – You connect dots, solve problems, and push things over the finish line.
  • Calm under fire – You operate with composure in demanding situations.
  • Proactive operator – You anticipate needs and move before being asked.
  • Organized & detail-obsessed – From travel itineraries to construction vendors, nothing slips.
  • Discrete & trustworthy – You protect sensitive information and earn trust quickly.
  • Always on: Comfortable with an always-on lifestyle and supporting both business and personal domains

RESPONSIBILITIES

  • Support the Founder and family across business, family office, and personal initiatives.
  • Manage complex, global travel — building detailed itineraries that run flawlessly.
  • Assist with project management of construction and real estate projects, ensuring execution is on time and on budget.
  • Source, evaluate, and negotiate with vendors under tight timelines to secure best-in-class outcomes.
  • Plan and execute high-stakes events and logistics with zero room for error.
  • Create systems (dashboards, trackers, briefs) that provide clarity, accountability, and visibility for leadership.
  • Partner with the Chief of Staff and rest of the executive leadership team on projects, ensuring outcomes are driven to completion.
  • Handle acquisitions, high-value assets, and confidential matters with judgment and discretion.
  • Capture decisions, translate them into clear next steps, and drive execution relentlessly.
  • Operate at the Founder’s pace: fast, intense, and solutions-only.

WHAT YOU’LL BRING

  • Minimum 5+ years of experience in fast-paced, entrepreneurial, or high-stakes environments.
  • Willingness to work a high-demand, always-on schedule in Eastern/Central Timezones.
  • Must be willing to work high demand schedule
  • Demonstrated ability to make things happen without a playbook.
  • Comfort switching between personal support (travel, family logistics) and business initiatives (portfolio, real estate, vendors).
  • Mastery of organization and detail.
  • Strong communication skills — direct, concise, and professional.
  • High emotional intelligence, professionalism, and discretion.
  • Experience with Google Workspace, Microsoft O365, MS Teams, and project management tools.
