The Property Account Specialist is part of the Landlord Engagement team and the primary point of contact to ensure residential property owners and managers are set up effectively to participate in housing programs for homeless and special needs populations. This position is responsible for onboarding new landlords, verifying ownership details, and maintaining accurate property records in Padmission Journey and Padmission Connect. The role also involves outreach to potential landlord partners, database management, and ensuring compliance with housing program requirements.

Primary Job Responsibilities

Essential Duties

  • Promote housing program participation and provide education about program benefits and tenancy requirements.
  • Increase landlord participation in HOM's housing programs.
  • Maintain professional, solution-oriented communication to address concerns and support positive landlord relationships.
  • Respond to inquiries, problem solve concerns and provide ongoing training to partners.
  • Train and support property managers in using Padmission Connect to update vacancies and maintain accurate property details.
  • Attend outreach events to generate leads and strengthen relationships with property owners and managers.
  • Verify property ownership against assessor records and property management agreements.
  • Maintain accurate ownership, management, and entity records in Padmission Journey and Connect.
  • Upload and manage ownership and property documentation across platforms.
  • Document all landlord communications and related activities within the system to preserve complete and compliant records
  • Process ownership and management transitions to ensure seamless payments and account access.
  • Oversee Padmission Connect to expand housing opportunities with accurate and up-to-date property data.
  • Manage user approvals for property managers, service providers, and program participants.
  • Demonstrated ability to prioritize, organize, and manage multiple responsibilities simultaneously while consistently meeting deadlines
  • Perform additional duties and special projects as assigned.
Requirements:

Essential Skills:

  • Proficiency in Microsoft Office 365 applications, including SharePoint, OneDrive, Teams, Planner, Outlook, Word, and Excel.
  • Strong organizational skills, with the ability to manage multiple concurrent projects and tasks effectively.
  • Strong attention to detail and accuracy in data entry and record management.
  • Excellent interpersonal communication skills, with the ability to engage and build relationships with a diverse range of external partners and internal teams.
  • Proficiency in database management and software platforms.
  • Ability to think strategically while also executing tactically to meet goals and objectives.
  • Problem-solving and conflict resolution skills.
  • Ability to work independently while coordinating with a team to meet goals.
  • Problem-solving skills with the flexibility to adapt to unexpected challenges and changes in work processes.
