Marketing Events Coordinator
The Marketing Events Coordinator supports the planning, delivery, and optimization of IMDEX’s events program. Reporting to the Global Marketing Enablement Specialist, this role focuses on coordination and execution, supporting the delivery of events within assigned regions.
The role ensures seamless execution of trade shows, conferences, customer events, and other related activities that strengthen the IMDEX brand and enable commercial outcomes. It partners closely with the broader Marketing Team, liaising with specialists across Product Marketing, Digital Marketing, and Brand to deliver cohesive and impactful event experiences. This includes coordinating content and creative requirements, integrating campaigns and lead-capture processes, and ensuring all event touchpoints align with product strategy and the IMDEX brand. Operating across assigned region, the coordinator collaborates effectively with local teams and external suppliers to deliver events that are consistent, well-executed, and measurable.
Key Responsibilities
Event Planning & Execution
• Support the planning and delivery of regional marketing events aligned with strategic and commercial objectives.
• Coordinate with regional teams (often remotely) to ensure seamless operational delivery.
• Liaise with Product Marketing to determine event focus, featured products, and messaging.
• Coordinate with external agencies and suppliers for booth design, creative production, and event assets.
• Coordinate end-to-end logistics including booth builds, AV, freight, catering, venue liaising, travel, and accommodation.
• Maintain detailed event project plans, timelines, run sheets, and critical paths.
• Manage event merchandise, giveaways, collateral, and promotional materials.
• Track and support event budgets, quotes, invoices, and support cost reconciliation.
• Maintain accurate event calendars, shared documentation, and planning dashboards.
Marketing Enablement & Content Delivery
• Coordinate the creation and delivery of event assets including brochures, booth graphics, videos, digital content, and signage.
• Support briefing of designers, product managers, and communications teams to ensure content accuracy and impact.
• Ensure brand compliance across all event touchpoints and materials.
• Coordinate post-event content including photo/video libraries and follow-up communications.
• Work with the Digital Marketing team to publish and manage event content across digital platforms (Eventbrite pages, landing pages, CRM forms, Marketing Cloud assets, email campaigns, social media).
Stakeholder Engagement & Communication
• Collaborate with internal teams (sales, product marketing, digital marketing, communications, regional operations) to align event objectives.
• Coordinate sponsorship inclusions, briefing packs, and pre-event communications.
• Manage event registrations, attendee coordination, and external partner/sponsor engagement.
• Respond to event enquiries and provide timely updates to stakeholders.
• Maintain the internal event hub (SharePoint / Viva Engage) including guides, checklists, assets, and updates.
• Work closely with Communications to support thought-leadership presence at events.
Performance Measurement & Continuous Improvement
• Support IMDEX’s structured lead-capture process, assisting with setup and adoption during events.
• Collect and consolidate event performance data including attendance, leads, engagement, cost, and ROI.
• Prepare post-event reports with insights, outcomes, and recommendations.
• Support with establishing and maintaining process documentation, event playbooks, asset libraries, and checklists.
• Capture feedback from regional teams and booth staff to drive improvements.
• Recommend enhancements to increase efficiency, consistency, and event impact.
Experience
• 3+ years’ experience in marketing, events coordination, or communications.
• Proven experience coordinating conferences, trade shows, customer events, or webinars end-to-end.
• Demonstrated ability to manage multiple concurrent projects, deadlines, and stakeholders.
• Experience working with suppliers, venue contacts, booth builders, and creative agencies.
Technical Skills
• Strong proficiency in Microsoft Office 365 (PowerPoint, Excel, SharePoint, Teams).
• Competence in coordinating budgets, quotes, purchase orders, and vendor invoices.
• Ability to review and proof creative assets for accuracy, quality, and brand alignment.

Desirable Criteria
Qualifications
• Tertiary qualification in Marketing, Communications, Event Management, or a related discipline.
• Additional training or certificates in event management, project management, or digital marketing.
Experience
• Experience using CRM platforms (e.g., Salesforce CRM, Salesforce Marketing Cloud, HubSpot).
• Experience working in a B2B technical, mining, manufacturing, or technology environment.
• Experience supporting digital marketing or event campaigns (e.g., email, landing pages, event registrations).
• Experience using event management platforms (e.g., Eventbrite) and/or CRM systems.
• Experience coordinating events across different time zones or within a global organization.
• Experience using social media scheduling tools or digital asset management systems.
Technical Skills
• Basic design literacy and familiarity with Adobe Creative Cloud, Figma, Canva, or similar tools.
• Experience with digital lead capture tools or onsite event technology.
• Understanding of marketing analytics, KPIs, and campaign performance metrics.
• Experience using project management software (e.g., Monday.com, Asana, MS Project).
