Job Description

Office Administrator & Social Media Coordinator

Position Summary

The Administrative, Accounting & social media Assistant serves as a key support role across office administration, accounting operations, and company social media presence. This individual acts as the “eyes and ears” of the office, ensuring smooth daily operations, accurate financial processing, and professional communication both internally and externally. The ideal candidate is highly organized, detail‑oriented, adaptable, and comfortable juggling multiple priorities in a fast‑paced environment.

Key Responsibilities

Office Administration

  • Maintain a clean, organized, and welcoming office environment. Keeping customers updated through sign posting, constant contact, etc.
  • Order and manage office and kitchen supplies and coordinate food deliveries for group meetings.
  • Plan, organize, and schedule meetings & events both onsite, offsite, and via video conference.
  • Maintain accurate and up‑to‑date employee contact databases.
  • Assist front counter with phone coverage as needed.
  • Provide administrative support to senior leaders, including drafting and distributing emails, taking notes, memos, letters, spreadsheets, forms, and other correspondence.
  • Maintain up to date phone listing, org chart, company wide screen updates, etc.
  • Assist with updating monthly and weekly system reporting’s and programs.
  • Assist HR Manager with any necessary tasks/ community events/ staff events/ etc.


Social Media Management

  • Oversee and manage the company’s social media platforms.
  • Assist with posting content, monitoring engagement, and maintaining a consistent brand presence.
  • Respond to inquiries or messages as appropriate and escalate when necessary.

Accounting & Financial Support

Accounts Receivable

  • Assist with daily cash application and collections.
  • Assist with preparing, processing, and sending customer invoices.

Accounts Payable

  • Assist with entering vendor bills and route payments for appropriate approval.
  • Process ACH and wire payments

General Accounting

  • Maintain customer and vendor accounts within the financial reporting system.
  • Prepare and compile reports for management and leadership, including Accounts Receivable and other accounting‑related reports.
  • Prepare journal entries for approval in the financial reporting system.
  • Assist in maintaining balance sheet reconciliations.
  • Assist with accurate and timely monthly and quarterly close, as well as year‑end close activities.
  • Assist with year‑end tax requests and the annual 1099 process.
  • Obtain and maintain a thorough understanding of the company’s financial reporting system and general ledger structure.

Process Improvement & Additional Support

  • Assist in the development and implementation of new procedures to improve departmental workflows.
  • Participate in training new and existing staff on updated procedures and enhancements.
  • Assist with managing the company purchase card program, including maintenance, training, monthly journal entries, and ad‑hoc support for cardholders.
  • Support special projects and perform additional tasks as assigned by management and leadership.

Qualifications & Skills

  • Strong organizational skills with exceptional attention to detail.
  • Ability to manage multiple priorities while meeting deadlines.
  • Comfortable working with financial data and accounting systems.
  • Proficient in Microsoft Office (Excel, Word, Outlook) and office technology.
  • Strong written and verbal communication skills.
  • Professional demeanor with the ability to interact with employees, leadership, customers, and vendors.
  • Experience with social media platforms and basic content management preferred.
  • Prior administrative and/or accounting experience preferred.

Work Environment

  • Office‑based role requiring regular interaction with staff and visitors.
  • Collaborative team environment with opportunities to contribute to process improvements.
