About This Position

The Sacramento Area Council of Governments (SACOG) is seeking a highly experienced Executive Assistant to provide advanced administrative and executive support to the Executive Director and play a key role in supporting SACOG’s public meetings. This is a unique opportunity to contribute to one of the most forward-looking and visionary regional planning agencies in the country. The Executive Assistant will provide high-level support to the Executive Director, who leads a staff of 60, collaborates with a board of directors of 31 elected officials, and regularly engages with external stakeholders. This position will report to the Administrative Support Team Manager and will also help coordinate meetings and logistics for some of SACOG’s public meetings, ensuring smooth communication and organization among members.

The Position

  • Completes a broad variety of administrative tasks for the Executive Director including:

  1. Working closely with the Executive Director to manage his schedule and assist in setting priorities for both internal and external meeting and engagement requests.

  1. Managing an extremely active calendar of meetings, appointments and engagements.

  1. Composing and preparing correspondence that is sometimes sensitive or confidential.

  1. Arranging complex and detailed travel plans, itineraries, and agendas.

  1. Compiling documents for meetings and completing expense reports.

  • Communicates directly, and on behalf of the Executive Director, with staff, board members and external stakeholders.

  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the Executive Director, and determines the appropriate course of action.

  • Understands the many external partners and stakeholders that are critical to the agency’s work and the key staff that the Executive Director and other senior staff interact with.

  • Provide support to SACOG’s public meetings.


The Organization


SACOG is the Metropolitan Planning Organization for the six-county Sacramento region. Formed as a Joint Powers Authority, SACOG is governed by a board of 31 elected officials that directly represent all six counties and 22 cities in the region, and one ex-officio member (Caltrans). While transportation is core to SACOG’s role as a Metropolitan Planning Organization, SACOG has over two decades of experience approaching regional issues from an integrated perspective that examines the linkages between transportation, housing, economic prosperity, environmental stewardship, and air quality. Hybrid Position

As an integral part of our organization, employees will provide support in a flexible work environment. This position will have the ability to telework 1-2 days per week, depending on the work in any given week.

The remainder of the work week will be in-person. Employees are required to live within 200 miles of Sacramento.

PHYSICAL DEMANDS

Must possess mobility to work in a standard office setting and use standard office equipment, including a computer; to operate a motor vehicle and to visit various meeting sites; vision to read printed materials and a computer screen; and hearing and speech to communicate in person and over the telephone. This is primarily a sedentary office classification although standing in and walking between work areas may be required. Finger dexterity is needed to access, enter, and retrieve data using a computer keyboard or calculator and to operate standard office equipment. Positions in this classification bend, stoop, kneel, reach, push, and pull drawers open and closed to retrieve and file information. Employees must possess the ability to lift, carry, push, and pull materials and objects up to 25 pounds.

ENVIRONMENTAL ELEMENTS

This is primarily a sedentary classification and the employee works in an office environment with moderate noise levels, controlled temperature conditions, and no direct exposure to hazardous physical substances. The employee interfaces with staff, management, other agency representatives, member jurisdictions, government officials, business representatives, and the general public in explaining SACOG policies and requesting and providing information.


Required


Any combination of training and experience that would provide the required knowledge, skills and abilities is qualifying. A typical—but not the only—way to obtain the required qualifications would be:

  1. Equivalent to graduation from an accredited four-year college or university with major coursework in public or business administration or a closely related field, and

  1. Five (5) years of broad and progressively responsible experience in administrative services and related areas, and

  1. Three (3) years of supervisory experience, preferably in the government or non-profit sectors.


Desired


  • Two years of experience in an executive assistant role in any organization.

  • Experience working in or with government agencies and elected officials.

  • Experience planning, organizing, directing, and coordinating the work of assigned staff.
