Overview
The Virtual Services Clinic Office Assistant is a non-clinical administrative support position. The role is intended to reduce routine administrative workload for clinical staff and improve the efficiency of virtual patient-care workflows.
Clinical responsibilities remain with appropriately licensed or credentialed clinical staff. These include clinical triage, medication reconciliation, medication management, clinical assessment, medication refill decisions, clinical advice, and clinical decision-making.
The Clinic Office Assistant is responsible for recognizing when a request or patient concern falls outside the scope of the position and promptly routing it to the appropriate clinical team member
Responsibilities
We are looking for an organized, patient-focused team member to help make virtual healthcare easier and more efficient for both patients and our clinical team. This 20-hour-per-week position provides essential administrative support to our Virtual Services programs.
You will work closely with providers, nurses, and clinic leadership. Your work will help remove routine administrative tasks from our clinical staff so they can spend more time focused on patient care.
What You'll Do
• Contact patients regarding referrals, appointments, scheduling needs, and follow-up.
• Schedule, reschedule, and cancel virtual appointments according to established workflows.
• Call patients with appointment reminders and help ensure they know how and when to connect with their provider.
• Assist patients with MyChart activation and basic navigation, including locating appointment information and virtual visit links.
• Complete administrative portions of virtual patient check-in and check-out.
• Maintain accurate patient demographic, insurance, referral, and scheduling information.
• Document patient outreach and administrative activities in the electronic health record.
• Provide administrative support for prior authorization and other clinic workflows as assigned.
• Answer phones, route calls, take messages, and identify concerns that need to be escalated to clinical staff.
• Provide other administrative support as requested by providers or the clinic manager.
Qualifications
- High school diploma or equivalent required.
- Previous experience in a healthcare, medical office, customer service, scheduling, or administrative setting preferred.
- Experience working with an electronic health record (EHR/EMR) preferred.
- Experience with virtual healthcare, telehealth, patient portals, or MyChart preferred.
- Current BLS is not required unless otherwise specified by department or organizational policy.
