About the Role:

The Payroll Specialist plays a critical role in ensuring accurate and timely processing of employee compensation within the organization. This position is responsible for managing the end-to-end payroll process, including the implementation and maintenance of payroll systems, ensuring compliance with federal and state tax regulations, and reconciling payroll data to maintain accuracy. The Payroll Specialist collaborates closely with HR, finance, and external vendors to resolve discrepancies and support audits. By maintaining up-to-date knowledge of payroll laws and best practices, this role helps mitigate risks related to payroll errors and tax filings. Ultimately, the Payroll Specialist ensures employees are paid correctly and on schedule, contributing to overall employee satisfaction and organizational compliance.

Minimum Qualifications:

  • Must have experience with prevailing wage reporting / certified payroll / Construction Payroll Compliance.
  • 5+ years proven experience in payroll processing.
  • Strong knowledge of payroll tax regulations, including federal and state tax laws in the United States.
  • Proficiency with payroll software and systems such as ADP, Paychex, or similar platforms.
  • Excellent attention to detail and strong organizational skills.

Preferred Qualifications:

  • Certified Payroll Professional (CPP) designation or equivalent certification.
  • Experience working with multi-state payroll processing and compliance.
  • Familiarity with HRIS systems and integration with payroll software.
  • Advanced Excel skills and experience with data analysis related to payroll.
  • Experience in a corporate or large organizational payroll environment.
  • BuildOps experience is a plus

Responsibilities:

  • Process and manage payroll cycles accurately and on time using payroll software and systems.
  • Implement and maintain payroll systems to improve efficiency and compliance.
  • Reconcile payroll data and resolve discrepancies related to employee compensation and tax withholdings.
  • Ensure compliance with federal, state, and local payroll tax regulations and reporting requirements.
  • Collaborate with HR and finance teams to update payroll records and support audits and inquiries.
  • Prepare and submit payroll tax filings and reports in accordance with regulatory deadlines.
  • Respond to employee questions regarding payroll, deductions, and tax withholdings in a timely manner.

Skills:

The Payroll Specialist utilizes payroll system implementation skills to configure and optimize payroll software, ensuring smooth and efficient payroll processing. Payroll processing and reconciliation skills are applied daily to verify employee hours, deductions, and tax withholdings, ensuring accuracy and compliance. Knowledge of payroll tax regulations is critical for preparing and submitting timely tax filings and maintaining adherence to federal and state laws. Strong payroll management and prevailing wage accounting skills enable the specialist to coordinate with multiple departments and manage deadlines effectively. Additionally, proficiency with payroll software and systems supports automation and error reduction, while communication skills help address employee inquiries and collaborate with internal teams.
