Responsibilities

Octave is seeking a highly organized, proactive, and detail-oriented Office Manager / Executive Assistant to support executive leadership, Investor Relations activities, and day-to-day office operations in our Midtown Manhattan New York office. This will be an onsite role and will serve as a key partner in ensuring seamless office functionality, executive coordination, investor event support, and an exceptional in-office experience for employees and visitors.

Key Responsibilities

  • Manage complex calendars, travel arrangements, expenses, and scheduling for executive leadership and Investor Relations activities
  • Coordinate meetings and events, including room bookings, catering, visitor registration, AV setup, and overall logistics
  • Partner closely with the Head of Investor Relations and Executive Assistants to the CEO/CFO to align schedules and support investor-related meetings and events
  • Support investor events hosted in the New York office, including planning, coordination, and onsite execution
  • Oversee day-to-day office operations, including supplies, inventory, vendor coordination, shipping/receiving, and space management
  • Manage office access, visitor badging, and communication with building management
  • Coordinate catering and dining arrangements while ensuring timely setup and support during meetings and events
  • Handle office communications, administrative requests, and general support for employees, visitors, and vendors
  • Track invoices, purchase orders, and office-related expenses and budgets
  • Maintain a professional, organized, and fully operational office environment while supporting ad-hoc business needs as they arise

Education / Qualifications
  • Ability to work onsite 5 days a week in our Midtown Manhattan New York office
  • Flexibility to support extended hours during high-volume meeting or event days
  • Strong organizational and time-management skills with the ability to manage multiple priorities in a fast-paced environment
  • Excellent written and verbal communication skills
  • Exceptional attention to detail and problem-solving abilities
  • Professional, customer-service-oriented mindset with a proactive approach
  • Ability to work independently while collaborating effectively across teams and leadership levels
  • Proficiency with Microsoft 365, scheduling platforms, video conferencing tools, and general office technology
