About the Role:
The Receptionist in our manufacturing facility serves as the first point of contact for visitors, clients, and employees, ensuring a welcoming and professional environment. This role is critical in managing front desk operations, including handling incoming calls, scheduling appointments, and coordinating communication across departments. The Receptionist will maintain accurate records, manage mail distribution, and support administrative tasks to facilitate smooth office operations. By efficiently managing inquiries and providing timely information, the Receptionist contributes to the overall productivity and positive image of the company. This position requires a detail-oriented and personable individual who can multitask effectively in a fast-paced manufacturing environment.
Minimum Qualifications:
- High school diploma or equivalent.
- Proven experience as a receptionist or in a similar administrative role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
Preferred Qualifications:
- Experience working in a manufacturing or industrial environment.
- Familiarity with office equipment such as multi-line phone systems and printers.
- Basic knowledge of health and safety protocols relevant to manufacturing settings.
- Customer service training or certification.
- Ability to use scheduling and visitor management software.
Responsibilities:
- Greet and assist visitors and employees in a courteous and professional manner.
- Answer, screen, and forward incoming phone calls promptly and accurately.
- Manage scheduling and calendar appointments for meetings and facility tours.
- Handle incoming and outgoing mail and packages, ensuring proper distribution.
- Maintain the reception area to ensure it is tidy and presentable at all times.
- Support administrative tasks such as data entry, filing, and document preparation.
- Coordinate communication between departments and relay messages efficiently.
- Assist with basic inventory management of office supplies and reorder as needed.
