Title of Position: Recruiting Specialist

Organizational Relationship: Reports to Chief People Officer

Classification: Exempt / Full-Time

Location: This is a hybrid position, requiring on site presence 2-3 days per week in our Lindon, UT office.

GENERAL SUMMARY:

The Recruiting Specialist is responsible for managing the full-cycle recruitment process to attract, assess, and hire top talent. They play a key role in building strong candidate pipelines, partnering with hiring managers, and ensuring a seamless and positive candidate experience while aligning hiring practices with organizational goals.



DUTIES & RESPONSIBILITIES:

  • Effectively and proactively source qualified candidates using LinkedIn Recruiter and other channels, maintaining consistent daily outreach activity and measurable pipeline output per open req.
  • Lead req kickoff meetings with hiring managers prior to posting, establishing agreed-upon intake criteria, target slate size, interview panel, and target fill date, documented in Rippling per req.
  • Review resumes and applications to assess candidate qualifications and alignment with job requirements.
  • Conduct initial screenings and assessments to ensure candidates meet the qualifications of the position.
  • Coordinate and schedule interview loops within 48 hours of hiring manager alignment, ensuring all panelists receive candidate materials and role context in advance; including: initial phone screen notes, resume, and other necessary information.
  • Assist with the interview process, attending and conducting interviews with managers, directors, and other stakeholders as needed.
  • Collaborate with the hiring manager and/or the People Operations team during the offer process.
  • Serve as the primary point of contact for candidates throughout the recruitment, offer, and onboarding process, providing timely updates, answering questions, and ensuring a positive candidate experience from initial outreach through start date.
  • Coordinate pre-employment and onboarding activities, including initiating and monitoring background checks, reviewing results for compliance, collecting required documentation, and ensuring all onboarding requirements are completed prior to employment.
  • Manage new hire onboarding logistics by scheduling Day One activities, coordinating orientation and onboarding meetings, and partnering with hiring managers and People Operations to ensure a seamless transition into the organization.
  • Ensure all requisitions, candidate dispositions, and hiring decisions are compliant with applicable employment law and Vyne policy, with zero audit findings related to the recruiting process.
  • Represent Vyne at industry and/or university job fairs and recruiting events, converting attendance into qualified pipeline, measured by candidates advanced to screening within 30 days of each event.
  • Build and maintain a strong network of industry professionals to tap into for current and future recruitment needs.
  • Provide weekly, accurate pipeline and sourcing reports that reconcile ATS and LinkedIn Recruiter activity data; collaborate on candidate selection decisions.
  • Maintain accurate candidate dispositions and ATS data integrity; ensure all applicants are reviewed, moved to the appropriate stage in a timely manner, and that no req backlog accumulates.
  • Manage LinkedIn Recruiter activity daily, including InMail outreach, project creation per active req, and Boolean search to build and maintain qualified candidate pipelines.
  • Develop and maintain structured interview guides and scorecards in partnership with hiring managers prior to req kickoff.
  • Maintain accurate req management in the ATS, including creating a LinkedIn Recruiter project per active req and ensuring candidate pipelines reflect current status.
  • Act as on-site HR representative for the Utah office as needed.

EDUCATION, KNOWLEDGE, SKILLS & ABILITIES:

Required:

  • A minimum of 3+ years of experience as a Recruiter, preferably within dental and/or SaaS industries.
  • Proficient in LinkedIn Recruiter
  • Strong interpersonal skills, ability to communicate and manage well at all levels of the organization and with staff at remote locations.
  • High level of integrity and dependability with a strong sense of urgency and results-orientation.
  • Demonstrated ATS discipline — including accurate candidate disposition, timely stage movement, and zero-backlog req management; experience maintaining data integrity in an ATS is required, Rippling experience strongly preferred.

Preferred:

  • Bachelor’s Degree in Human Resources or equivalent experience
  • Experience with Rippling
  • Proficient in G-Suite
  • Strong interpersonal skills, ability to communicate and manage well at all levels of the organization and with staff at remote locations.
  • Strong problem solving and creative skills and the ability to exercise sound judgment and make decisions based on accurate and timely analyses.
  • High level of integrity and dependability with a strong sense of urgency and results-orientation.
