Position Overview
This role provides interim coverage for our Benefits Administration, Onboarding in Paylocity, and HR compliance functions during an incumbent's leave of absence, ensuring continuity with no disruption to enrollments, claims, and compliance deadlines. The HR Generalist / Recruiter Support will serve as the primary point of contact for these areas, with recruiting support as needed. You will manage day-to-day benefits operations across all corporate entities, partner with our broker and carriers, support Open Enrollment with the HR Manager, and keep Paylocity clean and accurate. You will also drive smooth onboarding and offboarding, support workers' comp and unemployment claims, and ensure multi-state labor compliance.
Because this is a coverage assignment, the first weeks will emphasize a structured ramp-up and knowledge transfer from the HR team, and the final weeks will focus on documentation and a clean hand back to the returning incumbent.
Duties and Responsibilities
- Manage all aspects of employee benefits across multiple entities, including enrollments, terminations, life event changes, and year-end updates in Paylocity.
- Coordinate Open Enrollment alongside the HR Manager, including communication, updating finalized plans/rates in Paylocity, and working directly with brokers and carriers.
- Serve as the main point of contact with brokers and carriers, ensuring timely communication of workforce updates, plan changes, and compliance notices.
- Reconcile monthly carrier invoices and work closely with Accounting to verify accuracy, resolve discrepancies, and process corrections or credits.
- Respond to employee benefit inquiries, providing guidance on enrollments, QLEs, and claims resolution.
- Enter and manage COBRA qualifying events in Paylocity; ensure proper transmission to the COBRA administrator and accurate tracking of COBRA enrollees.
- Manage all ICW workers' compensation claims, including reporting, provider coordination, return-to-work tracking, and lost-time management.
- Maintain accurate workers' comp classification codes for all employees across corporate entities.
- Respond in a timely manner to all EDD unemployment claims and coordinate documentation with managers; support preparation for hearings as assigned.
- Support ACA compliance, including measurement/stability tracking and year-end reporting, while adhering to HIPAA privacy requirements.
- Manage end-to-end onboarding in Paylocity, including background checks, I-9/E-Verify, new hire setup, benefit enrollment, and orientation tasks across all entities.
- Support offboarding processes in Paylocity, including final pay inputs, benefit terminations, COBRA processing, and return of company property.
- Ensure compliance with federal, state, and local labor laws, including labor postings, training requirements, and recordkeeping.
- Run reports in Paylocity for benefits, compliance, and headcount; reconcile payroll deductions with carrier bills.
- Serve as the day-to-day administrator of the Paylocity HRIS, maintaining data integrity, managing employee records and system updates, and building/running reports across benefits, compliance, and headcount.
- Maintain accurate and organized HR/benefits files while safeguarding confidential information.
- Complete a thorough ramp-up at the start of the assignment and maintain clear process documentation throughout, ensuring a smooth hand back at the end of the coverage period.
- Work closely with the HR Manager on HR initiatives and provide overall support for the HR department as needed.
