Job Description

Job Summary:

Outpatient Access Specialist plays a vital role in ensuring smooth and efficient front-end operations within the healthcare setting. As the first point of contact for patients and visitors, this position is responsible for accurate patient registration, insurance verification, consent collection, and front desk support. The role requires excellent customer service skills, attention to detail, and the ability to work collaboratively in a fast-paced environment while upholding hospital policies and patient confidentiality standards.

Key Responsibilities Include, But Are Not Limited To:

  • Greet patients and visitors courteously; assess needs and direct appropriately.
  • Accurately register patients in the Epic/EMR system using two patient identifiers; verify demographics and insurance information.
  • Obtain required signatures and consents; complete documentation such as Medicare Secondary Payer forms and insurance eligibility checks.
  • Register Occupational Medicine patients in Systoc, ensuring proper documentation, vendor coding, and payment records.
  • Collect co-pays and reconcile payments daily; maintain accurate records and close the cash drawer following hospital protocols.
    Answer incoming calls professionally; perform general clerical tasks such as scanning, filing, and data entry.
  • Upload medical records to HIM via OnBase; manage Occupational Medicine records in designated shared drives.
  • Participate in team huddles, staff meetings, quality improvement efforts, and onboarding of new team members.
  • Maintain a clean and organized workspace; monitor waiting areas for cleanliness and orderliness.
  • Ensure compliance with HIPAA and all hospital privacy and confidentiality standards.

Qualifications:

  • Education: High school diploma or equivalent required; two years of college or specialized training preferred. Equivalent education and experience will be considered.
  • Experience: Minimum of one year in a healthcare setting with demonstrated skills in recordkeeping, organization, and customer service.
  • Skills: Proficiency with computers and EMR systems; ability to learn hospital platforms such as Epic, Systoc, and OnBase.
  • Contacts: Frequent interaction with patients, visitors, hospital staff, and the public.
  • Physical Demands: Regular sitting, standing, and walking; occasional lifting of medium to heavy items. Possible exposure to blood and body fluids.
  • Working Conditions: Office-based environment with regular exposure to patient care areas.
