About This Position

Job Purpose

The Accounting Admin role creates invoices to be processed through Predict AP, Avid and Nexus, maintains our vendor records and completing new vendor set up requests.

Duties and Responsibilities

  • Review, code and submit all invoices in Predict AP to Nexus.
  • Review, code and create all invoices in the Avid Inbox.
  • Manage the exception queues in Predict AP and Avid Inbox.
  • Serve as the AP Processor in Nexus to get the invoices sent over from Predict AP into the workflows within Nexus.
  • Manage the rejected invoices in Nexus and make the necessary changes to the invoices so they can be processed correctly and timely.
  • Assign GL codes to new vendors in Nexus so that invoices are successfully created in Predict AP and routed to the correct workflows within Nexus. This will need to be coordinated with the Property Management Associates and the Corporate Staff Accountant/ VP Corporate Accounting to make sure only budgeted accounts are assigned to vendors.
  • Manage the new vendor set up process and the modified vendor process. This involves monitoring the STAG AP Vendor email box, reaching out to third party vendors we do not have in our AP system to obtain a Form W-9 or confirming an existing vendor has a new remittance address. Submitting the request with support through Quickbase so that we can have the proper documentation for paying the vendor.
  • Communicate with third party vendors on payment status and vendor setup via telephone and email.
  • Assist with the refunds from AvidPay/Nexus as needed to see if invoices need to be resubmitted for processing.
  • Various ad-hoc assignments within the accounting department.

Qualifications

  • 1-3 years of professional work experience.
  • Experience with Microsoft Excel.
  • Experience with MRI, Avid and Nexus is preferred, not required.
  • Strong organizational skills and attention to detail.
  • Strong interpersonal and communication skills.
  • Demonstrated flexibility, self-development and openness to change.
  • Thrives in a fast-paced, dynamic environment, managing multiple projects simultaneously.
  • Ability to maintain confidentiality.

Working Conditions

  • This position does not require special working conditions. Employee works in an office setting utilizing a laptop provided by company.
  • This is a hybrid position, with 3 days spent working in the Boston office and 2 days working remotely.

Direct Reports

This position has no direct managerial responsibilities.
