Job Description
The Production Data Coordinator is responsible for supporting production and customer project activities through accurate data management, documentation control, reporting, and cross-functional coordination. This role serves as a key connection between Production, Customer Success, Quality, Supply Chain, and Operations teams to ensure production data is accurate, customer requirements are properly documented, and information is communicated effectively throughout the manufacturing process. The Production Data Coordinator plays an important role in supporting operational efficiency, customer satisfaction, accuracy, and continuous improvement initiatives as Proper Beverage Company continues to grow.
Responsibilities
Production Data Management
- Maintain accurate production records and data within company systems and reporting tools.
- Collect, review, and validate production information including run quantities, downtime, yields, waste, and efficiency metrics.
- Ensure production data is entered accurately an din a timely manner to support reporting and decision-making.
- Identify discrepancies or missing information and work with Operations teams to resolve issues promptly.
- Support data integrity initiatives and continuous improvements related to production reporting processes.
Customer Project Support
- Partner closely with Customer Project Manager to support customer projects throughout the production lifecycle.
- Maintain customer specifications, production requirements, and project documentation.
- Assist with coordinating production schedules, change requests, and project updates across departments.
- Support communication between Customer Success, Production, Quality, and Supply Chain teams to ensure customer expectations are met.
- Track project milestones and assist in monitoring project timelines and deliverables.
Reporting & Analytics
- Generate routine and ad hoc production reports for leadership and cross-functional teams.
- Assist with compiling operational KPIs including production efficiency, scrap, downtime, and attainment metrics.
- Analyze trends and identify opportunities for process improvements or reporting enhancements.
- Support preparation of customer reports, operational summaries, and business reviews as needed.
Documentation & Record Management
- Maintain organized and accurate electronic and physical production records.
- Support document control processes related to production specifications, work instructions, and customer requirements.
- Ensure production documentation is current, complete, and readily accessible.
- Assist with audit preparation and documentation requests related to customer, quality, or regulatory requirements.
Cross-Functional Collaboration
- Work closely with Production, Quality, Customer Success, Supply Chain, and Finance teams to ensure accurate information flow.
- Assist with resolving production-related data issues that may impact customer orders or operational performance.
- Support continuous improvement projects focused on process efficiency, reporting accuracy, and system improvements.
- Provide administrative and project support to Customer Project Manager as needed.

Qualifications
- High school diploma or equivalent required, associate or bachelor’s degree in Business, Supply Chain, Operations, Data Analytics, or a related field preferred.
- Previous experience in manufacturing administration, production planning, customer service, project coordination, or data management, preferred.
- Experience in food and beverage manufacturing or a regulated manufacturing environment, preferred.
- Strong proficiency in Microsoft Office Suite.
- Experience with ERP, MRP, inventory management, or production management systems, preferred.
- Strong analytical skills with exceptional attention to detail and accuracy.
- Excellent organizational and time management skills with the ability to manage multiple priorities.
- Strong verbal and written communication skills.
- Ability to work effectively across multiple departments and levels of the organization.
- Ability to maintain confidentiality and handle sensitive business information professionally.
