Position Details

We are looking for a Proposal Coordinator to join our Vancouver or Victoria office. In this role, you will play a key role in the preparation and management of proposals and business development materials. You will work closely with the project teams to create compelling, tailored proposals that meet client needs while adhering to deadlines and quality standards.

Key Responsibilities

  • Review proposal requirements and develop plans for deliverables, responsibilities, and timelines.
  • Draft, edit, and format proposal content in Microsoft Word and Adobe InDesign so submissions are clear, concise, and tailored to client requirements.
  • Maintain proposal trackers, Teams channels, and update proposal progress and status throughout the submission process.
  • Maintain proposal collateral so materials remain current and aligned with AME’s brand voice and messaging.
  • Coordinate and update team resumes for use in proposals so they reflect current qualifications and project experience.
  • Work closely with Principals, Associates, Project Managers, and technical staff to gather information required for proposals and presentations.
  • Review and proofread proposal documents for clarity, grammar, formatting, consistency, and alignment with company standards before final production.
  • Use approved review tools and processes, including technology-supported review where appropriate, to identify gaps, strengthen content, and improve consistency.

Key Skills

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint), Adobe InDesign, Bluebeam and familiarity with proposal management software such as AJERA and PIM.
  • Strong writing, editing, and proofreading skills.
  • Ability to handle multiple overlapping deadlines from various sources.
  • Excellent organization, time management and task prioritization skills. Attention to detail is important.
  • Ability to work collaboratively and efficiently in a team while being independent and self-sufficient.
  • Exceptional written and verbal communication skills, with a willingness to advocate for oneself.
  • Knowledge of the construction and consulting industry would be an asset.

Qualifications and Experience

  • Bachelor's degree in Marketing, Communications, Business, or related field, or equivalent experience.
  • Minimum of two years of experience in a similar role.
  • Previous experience working in a design or engineering firm (or similar industry) is a plus.
  • APMP Certification would be an asset
