OVERVIEW:

At The Westin Nashville, we believe thoughtful details and seamless experiences help our guests feel their best. As an Event Specialist, you will play an important role in bringing that experience to life by supporting our Events and Sales teams in the coordination and execution of group programs, rooms-only groups, internal meetings, and departmental operations. You’ll serve as a key point of contact for assigned groups while providing the organization, communication, and follow-through needed to ensure every detail is thoughtfully managed.

This role is ideal for someone who is highly organized, detail-oriented, and passionate about hospitality. You’ll partner closely with Conference Services Managers and hotel teams to manage event documentation, systems, communications, and day-to-day details while balancing multiple priorities in a dynamic environment. As an Event Specialist, you’ll gain valuable exposure to the full group and events experience while helping create the effortless, welcoming service that defines the Westin experience.

ESSENTIAL FUNCTIONS:

  • Serve as the primary point of contact for assigned rooms-only groups, providing timely, professional communication and support from turnover through arrival.
  • Coordinate group details, reservations, rooming lists, billing information, deadlines, and event documentation to ensure a seamless guest experience.
  • Support internal meetings and events by coordinating meeting space, setup requirements, food and beverage needs, and communication with hotel teams.
  • Assist Conference Services Managers with event servicing and administrative needs, including preparing event resumes, agendas, reports, and client communications.
  • Maintain accurate group and event information within hotel systems and ensure files and documentation are organized and up to date.
  • Partner with Sales, Catering, Group Housing, Front Office, Banquets, Culinary, Accounting, and other hotel teams to communicate group needs and ensure successful execution.
  • Build positive relationships with clients, guests, vendors, and associates through thoughtful, responsive, and service-focused communication.
  • Provide additional support to the Sales and Events team based on business needs and priorities.We are committed to Diversity, Equity, and Inclusion. OTHER:

Regular attendance in conformance with the standards, which may be established from time to time, is essential to the successful performance of this position. Due to the cyclical nature of the hospitality industry, employees may be required to work varying schedules to reflect the business needs of the hotel. In addition, attendance at all scheduled mandatory training sessions and meetings is required.

Upon employment, all employees are required to fully comply with policies and procedures for the safe and effective operation of the hotel’s facilities.
