Job Purpose
This Loan Administration Specialist helps to ensure loan servicing, documentation, and operational processes are completed accurately, timely, and with a strong attention to detail. As a key partner to lenders, clients, and internal teams, the Loan Administration Specialist helps create a seamless loan experience, protects the integrity of the bank’s records and processes, and supports the efficient flow of loan activity from closing through servicing. By delivering reliable follow-through, maintaining compliance-related responsibilities, and contributing to strong internal coordination, this role helps strengthen client trust, reduce risk, and support the bank’s continued growth.
Job Description
Provide operational and servicing support to the Loan Administration Department and maintain the accuracy, efficiency, and consistency of the bank’s loan processes. Responsible for supporting both existing and new loan customers by handling a variety of servicing activities, responding to inquiries, processing loan-related transactions, and helping ensure loan records are complete and up to date. Work closely with lenders and partners across the bank to support a seamless workflow from loan closing through ongoing servicing and payoff. Requires proficiency in the bank’s core processor and nCino, as well as a working knowledge of General Ledger and accounting functions related to loan transactions.
Duties and Responsibilities
- Partner with department associates to ensure daily tasks are covered and key processes are completed within established timelines.
- Work closely with lenders to support Loan Administration procedures and processes that contribute to efficient loan workflow and loan growth.
- Complete Loan Administration tasks and responsibilities as assigned by department leadership.
- Assist with the verification, filing, and maintenance of HMDA and CRA data collection.
- Support daily and monthly participation payments and related balancing activities.
- Process the recording of lien instruments in a timely and accurate manner.
- Image and index credit and loan files to ensure complete and organized records.
- Maintain loan exception tracking and follow up on outstanding items as needed.
- Monitor flood insurance coverage and maintain current policies and related documentation.
- Manage the paid-out process for loan payoffs, including required documentation and follow-up.
- Assist with the appraisal ordering process and related coordination.
- Perform daily balancing of loan general ledgers.
- Process daily loan payments received accurately and within required timeframes.
- Review and work daily exception reports to identify and resolve outstanding issues.
- Respond to customer loan inquiries and assist with corrections as needed.
- Support special projects related to Loan Administration initiatives and process improvements.
- Cross-train to provide secondary support for loan administration functions as needed.
Other Key Job Functions
- Communicate effectively with Senior Management, Auditors, Vendors, and other bank personnel.
- Adhere to all bank and department personnel policies and procedures.
- Perform other reasonably related job responsibilities as assigned by immediate supervisor and other management as required.
Required Knowledge, Skills and Abilities:
- Minimum 2 years of banking experience; loan admin or loan ops exposure preferred
- Working knowledge of loan servicing, documentation, and operational support
- Proficient in Microsoft Word and Excel; able to learn core and nCino systems
- General Ledger and loan transaction accounting knowledge preferred
- Strong verbal and written communication skills
- Ability to maintain confidentiality and handle sensitive information discreetly
- Strong work ethic, attention to detail, and organizational skills
- Able to prioritize work, meet deadlines, and use time effectively
- Demonstrates accuracy, dependable follow-through, and daily accountability
- Regular reliable attendance and punctuality are essential functions to this position
