JOB PURPOSE: The Administrator acts as a liaison between field operations and office personnel and is responsible for performing a variety of essential tasks to facilitate a well-organized office. Is proficient in all aspects of Office Suite, data entry, paperwork tracking and reporting.
JOB RESPONSIBILITY SUMMARY INCLUDED BUT NOT LIMITED TO:
- Develop and manage detailed spreadsheets
- Collaborate with Foreman/Supervisor/Superintendent to meet customers needs
- Coordinate and oversee various work trackers
- Verify and process documentation and permits for all work as required by customer
- Receive all work orders through customer portals or email
- Remote ticket entry 811 One Call training and execution
- Assist Foreman with questions regarding ticket numbers, work orders, etc.
- Process daily completed projects for external and internal customer records
- Communicate with sub-contractors with job specific information
- Process invoices for subcontractors for passthrough billing
- Assist with projects and customer commitments
- Assisting with new hire candidate documentation
- Detailed and accurate production in a timely manner
- Other tasks as required by local area field and customer
REQUIRED KNOWLEDGE, SKILLS, & ABILITIES:
Education | Required: High School Diploma Preferred: Business degree or certificate with concentrations in business management |
Experience
| Preferred: 3+ years of administrative experience, preferably in the construction industry Possess strong written and oral communicative & problem-solving skills, 3+ years in customer service, TN 811 One Call, Utilities construction, Natural Gas |
Special Knowledge/ Skills | Required: Able to work and communicate effectively in written form, over the phone, or in person with all levels of the company and customer. Strong interpersonal and teamwork skills. Possess moderate MS Excel and MS Word skills. Must be detailed orientated and be able to multi-task accurately as well as adept at meeting deadlines. |
