Westminster Canterbury of Lynchburg, a 5-Star rated Continuing Care Retirement Community in Central VA is seeking a Human Resources Administrative Assistant to join our team!
Full-time position available with complete benefits package including Medical, Dental, Vision, Paid Time Off, 403B with company match, and more. Hours will be day shift Monday through Friday.
The Administrative Assistant for Human Resources performs administrative duties related to the operations of the Human Resources office. As the first point of contact, this role requires a professional, courteous and welcoming demeanor to assist with various requests.
- Maintain and update employee data and personnel records within the HRIS platform (Paylocity) to ensure accuracy and compliance.
- Coordinate pre-employment processes, including but not limited to employment verifications, background screenings, DMV checks and drug testing.
- Ensure personnel files and HR documentation remain compliant with organizational policies and applicable employment regulations.
- Support talent acquisition activities by coordinating appointments, preparing interview materials, and partnering with hiring managers throughout the recruitment process.
- Schedule and coordinate onboarding activities, including new hire paperwork, screenings, orientations, and system access.
- Assist with new hire orientation and employee integration initiatives to support a positive onboarding experience. Serve as a back-up to the HR Generalist for new hire orientations.
- Serve as a resource to employees and leadership by responding to inquiries regarding HR policies, procedures, benefits, and employment practices.
- Generate and maintain recurring HR reports, metrics, and workforce data as requested.
- Collaborate with the HR team to coordinate employee engagement and recognition programs and events.
- Provide administrative support to education committee, including meeting minutes, communications, and budget/fund processing.
- Demonstrate professionalism, compassion, and a service-oriented approach when interacting with employees, residents, families, and external stakeholders.
- Exercise sound judgment, initiative, and the ability to prioritize responsibilities with minimal supervision.
- Maintain strict confidentiality regarding employee, organizational, and sensitive business information.
- Perform additional duties and special projects as assigned to support HR operations and organizational objectives.
- Perform other duties incidental to the work described herein.
Required Skills/Abilities:
- Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook, as well as HRIS and workforce management/timekeeping systems required.
- Strong organizational, communication, and customer service skills with the ability to manage multiple priorities effectively.
- Demonstrated ability to handle confidential and sensitive information with professionalism and discretion.
- Strong attention to detail, accuracy, and problem-solving skills.
Education and Experience:
- Associate degree required
- Bachelor's degree in Human Resources or Business Administration is preferred
- Professional Human Resources Certification (PHR, SHRM-CP, or equivalent) preferred.
- Minimum of 3 years of administrative or operational support experience is required; Prior Human Resources Experience preferred
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer
- Must be able to stand, bend, push, and pull for filing
- Must be able to lift up to 20 pounds at times
