Administrative Assistant
Location: Whippany, NJ
Salary: 32k
Part-time: 21 hours per week (3 days in the office—Monday, Tuesday, and Thursday). Will require occasional availability to work evenings or weekends.

The Administrative Assistant provides administrative support to the Jewish Camp Enterprise and Day School Initiative teams. This role supports a variety of educational, scholarship, grant, and community engagement programs while ensuring efficient departmental operations. The ideal candidate is highly organized, detail-oriented, adaptable, and able to manage multiple priorities in a fast-paced environment.
This position requires strong communication skills, the ability to work independently, and a commitment to delivering excellent service to community members, donors, volunteers, and partner organizations.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Administrative Support
Coordinate and maintain departmental calendars, appointments, and meetings.
Manage department correspondence, including acknowledgment letters, tribute letters, and communications with families and community stakeholders.
Maintain accurate department files, records, and database entries.
Collaborate closely with directors and team members to support departmental goals and initiatives.
Assist with special projects and administrative tasks as assigned.
Financial and Operational Support
Prepare and process check requisitions, invoices, and payments for both departments.
Reconcile departmental expenses and assist with monthly financial reporting.
Support grant and scholarship payment processes and documentation.
Program and Event Support
Assist with the administration of camp scholarships, grants, and incentive programs, including One Happy Camper and related initiatives.
Respond to inquiries from families, camps, and community partners regarding applications and program requirements.
Support the preparation and implementation of special events, conferences, and community programs.
Assist with logistics such as registration management, name badges, attendance tracking, marketing support, and event staffing.
Provide support for the Quest for Teaching Excellence program and biennial Quest Conference in collaboration with program staff.
Assist with day school initiatives and special projects, including educational innovation programs and community engagement efforts.
QUALIFICATIONS
High school diploma required; associate’s or bachelor’s degree preferred.
Minimum of 2 years of administrative support experience.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Experience with databases, CRM systems, or online application platforms preferred.
