Position Overview

We are seeking a detail-oriented Family Office Accountant to manage the day-to-day accounting and financial records of the Chief Executive Officer’s personal finances and a number of privately held entities. Reporting to the Corporate Controller, the role will oversee bookkeeping, reconciliations, financial reporting, tax support, and year-end requirements.

Working closely with internal and external accounting, tax, legal, and banking advisors, the successful candidate will bring strong accounting knowledge, excellent organization, sound judgment, and a high level of discretion. Given the confidential nature of the role, accuracy, integrity, and confidentiality are essential.

Salary: $75,000.00 - $80,000.00

Key Responsibilities

FAMILY OFFICE ACCOUNTING & BOOKKEEPING

Standard: Ensures family office financial records are complete, accurate, current, and confidential.

  • Maintain day-to-day accounting and bookkeeping for family office financial accounts, privately held holding companies, and related entities.
  • Record and reconcile bank accounts, credit cards, loans, investment accounts, and other financial accounts.
  • Process accounts payable, payments, expenses, transfers, contributions, distributions, and other financial transactions.
  • Prepare monthly financial reports, account summaries, net worth statements, and supporting schedules
  • Maintain complete supporting documentation and organized accounting records for all transactions.
  • Investigate discrepancies and ensure outstanding accounting items are resolved on a timely basis.
  • Ensure all family office financial information is handled with strict confidentiality and discretion.

HOLDING COMPANY & ENTITY ACCOUNTING

Standard: Maintains complete and accurate accounting records for privately held holding companies and related family office entities.

  • Maintain the general ledger and accounting records for assigned holding companies and related entities.
  • Record and reconcile bank accounts, loans, investments, intercompany balances, shareholder accounts, and other balance sheet accounts.
  • Record intercompany transactions, shareholder transactions, contributions, distributions, and transfers between entities.
  • Prepare monthly financial statements, balance sheet reconciliations, continuity schedules, and other supporting financial reporting.
  • Maintain schedules for investments, loans, fixed assets, shareholder accounts, and other significant balance sheet items.
  • Ensure transactions are recorded to the appropriate entity and account and supported by complete documentation.

YEAR-END & CORPORATE ACCOUNTING SUPPORT

Standard: Ensures accounting records and supporting schedules are complete and ready for tax, year-end, and corporate reporting requirements.

  • Prepare year-end working papers, reconciliations, continuity schedules, and supporting documentation for personal and holding company files.
  • Coordinate with external accountants and tax advisors regarding personal, corporate, and trust tax filings as applicable.
  • Track tax instalments, filing deadlines, notices of assessment, and other accounting or tax-related requirements.
  • Provide accounting information and supporting schedules for corporate reorganizations, dividends, shareholder transactions, financing, and other transactions as directed by the Corporate Controller.
  • Maintain accounting-related corporate records and supporting documentation in an organized and secure manner.
  • Respond to accounting and financial information requests from external advisors under the direction of the Corporate Controller.

FINANCIAL CONTROLS, RECORDS & REPORTING

Standard: Maintains strong financial controls, organized records, and timely reporting across all assigned personal and holding company accounts.

  • Ensure all assigned accounts are reconciled regularly and outstanding items are investigated and resolved on a timely basis.
  • Maintain clear audit trails and supporting documentation for significant transactions, transfers, investments, loans, and intercompany activity.
  • Prepare schedules, summaries, and financial reports requested by the Corporate Controller.
  • Identify unusual transactions, unreconciled balances, missing information, or potential accounting issues and escalate them promptly to the Corporate Controller.
  • Maintain organized electronic accounting files and ensure records are retained consistently across entities.
  • Support improvements to family office accounting processes, controls, reporting, and recordkeeping as required.
  • Ad hoc requests as they arise

Requirements

  • Post-secondary education in Accounting, Finance, Business Administration, or a related field.
  • Minimum 3-5 years of accounting, bookkeeping, financial reporting, or related experience.
  • Demonstrated ability to handle highly confidential and sensitive information with discretion and professionalism.
  • Strong knowledge of accounting principles, bookkeeping practices, and financial reporting.
  • Advanced proficiency in Microsoft Excel and Microsoft Office Suite.
  • Experience working with Quickbooks Online or other accounting software and financial management systems
  • Exceptional organizational and time management skills.
  • Strong attention to detail and accuracy.
  • Ability to work independently and manage multiple priorities simultaneously.
  • Excellent written and verbal communication skills.
