Mediation Services Coordinator

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Mediation Services Coordinator based in Canada.

This role offers an opportunity to support a community-focused mediation initiative designed to help condominium communities resolve disputes constructively and efficiently.
You will coordinate the day-to-day administration of mediation cases, from intake and eligibility screening through scheduling, case tracking, and follow-up.
As a central point of contact, you’ll work closely with applicants, participants, volunteer mediators, and other stakeholders.
The role combines program coordination, case administration, stakeholder support, records management, and program evaluation.
You’ll contribute to a pilot program where accurate data, responsive service, and efficient processes are essential to measuring its impact.
The position is well suited to an organized, service-oriented professional who can manage sensitive information with discretion and professionalism.
You’ll also have opportunities to identify improvements and contribute to the future development of community-based dispute resolution services.

Accountabilities:
  • Respond to inquiries about the mediation program and provide clear information regarding processes, eligibility requirements, and participation.
  • Coordinate intake activities and conduct preliminary eligibility screening in accordance with established criteria and procedures.
  • Assign cases to co-mediation teams based on mediator availability, capacity, and operational requirements.
  • Coordinate scheduling and administrative logistics for mediators and participants.
  • Monitor mediation files, track case progress, and help ensure activities are completed in a timely manner.
  • Identify operational issues and escalate matters appropriately when required.
  • Act as a primary point of contact for volunteer mediators and maintain regular communication with applicants, participants, and other stakeholders.
  • Provide timely, professional, and responsive support to promote a positive participant experience.
  • Maintain accurate, confidential case files, records, and program documentation.
  • Collect and maintain program data, metrics, and statistics to support reporting and evaluation.
  • Support participant feedback collection and contribute to pilot evaluation activities.
  • Prepare reports, summaries, and updates on program activities, progress, and outcomes.
  • Assist with developing and improving program procedures, tools, resources, and administrative processes.
  • Identify opportunities to improve service delivery and operational efficiency.
  • Contribute recommendations related to pilot design, processes, and potential future program implementation.
Requirements
  • Post-secondary education in a relevant discipline, or an equivalent combination of education and professional experience.
  • Demonstrated experience in administration, program coordination, case management, or a similar support function.
  • Strong organizational and time-management skills, with the ability to manage multiple priorities and competing deadlines.
  • Excellent written and verbal communication skills.
  • Strong interpersonal and stakeholder management abilities, with a customer-service-oriented approach.
  • Professionalism, sound judgment, discretion, and a demonstrated ability to handle sensitive and confidential information.
  • Proficiency with Microsoft Office applications and virtual meeting platforms.
  • Ability to work independently while collaborating effectively with diverse stakeholders.
  • Experience with mediation, dispute resolution, alternative dispute resolution (ADR), or community-based conflict resolution is an asset.
  • Mediation training, certification, or postgraduate education related to dispute resolution is an asset.
  • Experience supporting volunteer-based programs or initiatives is an asset.
  • Experience in project coordination, program administration, or case management is an asset.
  • Knowledge of Ontario’s condominium sector and condominium governance is an asset.
  • Experience in a regulatory, public-sector, tribunal, or not-for-profit environment is an asset.
Benefits
  • Fully remote work arrangement across Ontario/Canada, with occasional attendance at meetings as required.
  • Six-month independent contractor engagement.
  • Full-time anticipated workload during the engagement period.
  • Compensation of $30–$38 per hour.
  • Invoices submitted and paid on a bi-weekly basis.
