We are looking for an organized, energetic, and service-minded professional to join our team as a Catering Coordinator. This position provides administrative and operational support to the Catering team and plays an important role in keeping events, communications, documentation, and daily operations related to events running smoothly.
The ideal candidate is detail-oriented, professional, resourceful, and comfortable managing multiple priorities in a fast-paced hospitality environment.
Duties:
Type correspondence, handle all outgoing mail, guest inquires in a professional manner, set up and maintain office files, type BEO's, take/distribute messages, control supply inventory, and monitor correspondence. Coordinate all in- house The Maya meetings, email information to prospective clients, answering phones, greeting walk-ins, putting sales/catering kits together, lead distribution, Banquet Event packet creation and distribution, managing pop ups and change information communication and Banquet check reconciliation. All other duties as needed by the office.
Qualifications:
- Friendly, positive, proactive, professional, interested in job and guests, team player, service oriented, and helpful.
- Honest, loyal, dependable, ability to organize and plan, follows directions, high degree of confidentiality, and filing skills.
- Good grammar with strong verbal skills, legible handwriting, able to communicate accurately and effectively in verbal and written form with guests.
- Basic understanding of guest’s needs and desires and methods of servicing for the guests’ satisfaction, adaptable to change, trustworthy.
Job Knowledge, Skills and Other Requirements:
Previous administrative experience is desired. Skilled at guest service and problem resolution. Ability to work with little supervision.
Knowledge of hotel and meeting rooms procedures, banquets event orders, sales and catering contracts, reservations, hotel facilities hours operation, filing system, and phone utilization/etiquette.
Language Skills:
- Ability to speak, read, write, and communicate effectively in English.
- Ability to communicate clearly and professionally with guests, clients, management, coworkers, and vendors.
- Additional language skills are a plus.
Education:
High school diploma or general education degree (GED) or one to three years related experience and or training or equivalent combination of education and experience.
