About the role

DESRI is seeking a highly organized, proactive, and service-oriented Administrative & Office Assistant to support our growing Denver office.

This individual will play a critical role in supporting the day-to-day operations of the Denver office while serving as a key point of contact for employees, visitors, and business partners. In addition, they will provide administrative support to members of the leadership team. The ideal candidate enjoys creating an exceptional workplace experience, thrives in a fast-paced environment, and is equally comfortable coordinating logistics, supporting executives, and solving operational challenges. This is an on-site role based in our Denver office, with an expectation of working in the office five days per week.

What you'll do

Office Operations & Employee Experience

  • Serve as a key point of contact for the Denver office, creating a welcoming and professional environment for employees and visitors.
  • Coordinate visitor arrivals, conference room scheduling, catering, and meeting logistics.
  • Maintain conference rooms, kitchens, and common areas to ensure the office remains organized and well stocked.
  • Assist with office and pantry inventory, supplies, mail, and shipping/receiving.
  • Coordinate with building management and vendors regarding office maintenance and facilities-related matters.
  • Support employee engagement activities, office events, celebrations, and hospitality initiatives.
  • Partner with Human Capital to support new hire onboarding, workspace preparation, and office readiness.

Administrative Support

  • Provide administrative support to members of the leadership team, including backup coverage for Executive Assistants and Principals as needed.
  • Coordinate complex calendars, meetings, travel arrangements, and logistics.
  • Prepare meeting materials and presentations.
  • Process expense reports and assist with invoice reconciliation.
  • Coordinate document execution, electronic signatures, notarizations, and overnight shipments.
  • Obtain Colorado Notary Public certification within the first month of employment (company-sponsored) to support document execution and notarization needs.
  • Assist with special projects and cross-functional initiatives as needed.

Team Support

  • Support cross-functional operational projects across the Denver office.
  • Identify opportunities to improve office processes and enhance the overall employee experience.
  • Perform additional administrative and operational responsibilities as business needs evolve.

Qualifications

  • Bachelor's degree preferred.
  • 1–3 years of professional experience in an administrative assistant, executive assistant, workplace experience, hospitality, concierge, or facilities support role.
  • Exceptional organizational, time management, and multitasking skills.
  • Excellent written and verbal communication skills.
  • Strong customer service orientation with a positive, proactive approach.
  • Ability to exercise sound judgment while handling confidential information.
  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Experience with productivity platforms such as Microsoft Teams, Adobe Acrobat, Concur, DocuSign, or similar software is preferred.
  • Ability to prioritize competing requests while maintaining attention to detail.
  • Self-starter who anticipates needs, takes ownership, and follows through.
  • Collaborative, flexible, and eager to support a variety of business needs.
  • Ability to occasionally lift up to 50 pounds and move throughout the office and remain on your feet for extended periods as needed.
  • Flexibility to occasionally work outside of standard business hours to support meetings or events.
  • At DESRI, we consider a wide range of factors to determine your compensation. We rely on market indicators and consider your specific job family, background, location, skills, and experience. The expected annual base salary for this position is $55,000 to $75,000, depending on experience.
  • DESRI’s compensation and benefits package includes variable compensation in the form of a year-end bonus (guaranteed in the first year of hire), medical and prescription drug coverage, 401(k) contribution matching, paid time off, wellness reimbursement, family-building benefits, and a charitable gift-matching program.
