Job Description
POSITION SUMMARY:
The WIC Supervisor is responsible for day-to-day supervision of clerical support staff ensuring effective service delivery, regulatory compliance, policy implementation, quality assurance and participant-centered delivery of WIC services. WIC Supervisor is responsible for oversight and support of the Outreach Coordinators activities including monitoring outreach efforts, community partnerships and participant recruitment and retention efforts.
The WIC Supervisor assists with training coordination in collaboration with WIC Nutrition and Breastfeeding Coordinator and WIC Director. The WIC Supervisor assists with monthly WIC department meetings and leads Clerical Team Meetings to promote communication, collaboration, accountability, and continuous quality improvement in order to achieve program goals.
Requirements:Program Knowledge and Professional Standards
1. Maintains a strong understanding of WIC’s mission, program goals, eligibility requirements, benefits, policies, and procedures, and ensures compliance with applicable USDA, NYSDOH, HIPAA, JPA FHC, confidentiality, and participant safety requirements.
2. Maintains required professional knowledge by completing assigned conferences, seminars, in-service education, mandatory trainings, and continuing education requirements.
Supervision and Operations
3. Assists the WIC Director with planning, implementing, evaluating, and improving WIC services to ensure compliance with NYSDOH WIC requirements and effective program operations.
4. Provides direct supervision, coaching, performance feedback, and evaluation of clerical staff and the Outreach Coordinator, establishing expectations related to customer service, productivity, accuracy, confidentiality, professionalism, and program performance.
5. Coordinates daily workflow, staffing, scheduling, workload distribution, and clerical operations across WIC sites to support efficient and equitable participant services.
6. Collaborates with the WIC Director and WIC Nutrition and Breastfeeding Coordinator to coordinate clerical, nutrition, breastfeeding, and outreach activities and address operational and staffing needs.
7. Oversees participant communication and outreach processes, including use of the shared mailbox, Teletask, Eligibility Ease, and other tracking systems, and monitors outreach goals, follow-up activities, and outcomes.
8. Promotes a positive, respectful, collaborative, and team-oriented work environment.
Training, Communication and Program Coordination
9. Assists with coordination and tracking of WIC staff training, competencies, certifications, and required NYSDOH and JPA FHC education.
10. Supports program communication and organization by maintaining WIC SharePoint resources, disseminating program and quality improvement updates, and assisting with staff meetings, agendas, documentation, action items, and follow-up.
11. Represents the WIC program at internal and external meetings and supports program-wide initiatives and events, including the Farmers Market Nutrition Program and WIC-sponsored activities.
Purchasing and Resource Management
12. Oversees departmental purchasing and inventory activities in collaboration with WIC leadership and staff, ensuring adequate supplies, compliance with program requirements, appropriate resource utilization, and identification of cost-saving opportunities.
Quality Assurance and Program Compliance
13. Monitors program data, quality indicators, participant feedback, and operational trends to identify opportunities for improvement and support program effectiveness.
14. Assists with preparation for audits, NYSDOH site visits, quality assurance reviews, and other compliance activities.
15. Collects participant and staff feedback, as appropriate, to support improvements in participant experience, workplace culture, and program operations.
