Description:

Every Child Pediatrics is seeking a detail-oriented and dependable full-time Accounting Office Assistant to join our team in person at our administrative offices in Thornton, Colorado. Reporting to the Financial Controller, this position provides administrative, clerical, and accounting support to help ensure accurate, efficient, and timely financial and operational processes across the organization. This role is ideal for an organized professional who enjoys balancing accounting responsibilities with general office administration in a collaborative, mission-driven healthcare environment.

Job Responsibilities

Administrative Support

  • Manage incoming mail, email, faxes, and other communications.
  • Coordinate office, building, and vehicle maintenance activities.
  • Order and maintain office and administrative supplies.
  • Provide general administrative and clerical support to the Finance Department.
  • Maintain organized electronic and physical filing systems, records, and documentation.
  • Prepare correspondence, spreadsheets, reports, and other business documents.

Accounting Support

  • Perform data entry and maintain accurate financial and administrative records.
  • Assist with accounts payable and accounts receivable processes.
  • Support invoice processing, payment tracking, and account reconciliations.
  • Assist with month-end and year-end-close activities.
  • Support quarterly financial reporting, annual audits, and budget preparation.
  • Assist the Financial Controller with special projects, reporting requests, and other accounting-related assignments.

Requirements:
  • High school diploma or equivalent; associate degree or coursework in Accounting, Business Administration, or a related field preferred.
  • Previous experience in an administrative, office assistant, bookkeeping, or accounting support role preferred.
  • Basic understanding of accounting principles and financial processes and experience with QuickBooks Online or similar accounting software preferred.
  • Strong organizational skills and attention to detail.
  • Proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities and meet deadlines.
  • Ability to perform routine building maintenance jobs like changing light bulbs and air filters.
  • Professional demeanor and commitment to confidentiality.
