Description:

Job Title: Development Assistant

Reports to: Communications and Development Director

Objective: The development assistant provides administrative support to the development department with special attention given to gift processing and maintenance of the donor database. They will also assist with monthly reconciliation and annual accounting, and perform other administrative tasks as needed.

Position Type and Hours: Part-time non-exempt, hourly. Approx. 15-20 hours/week, depending on the needs of the organization.

Duties & Responsibilities:

Database Administration/Gift Processing (50% of time)

  • Input donor and constituent information and donation information into donor database, ensuring accurate and timely processing on donations (checks, cash, credit cards, wire transfers, in-kind, etc.).
  • Assist with receipting and timely acknowledgement of donations by exporting donation receipts and other gift reports; alert the development officer when daily gift entry is complete and gifts are ready to be acknowledged.
  • Create and generate various reports and mailing lists by gathering and combining data from donor databases, auction/event software programs, and other data systems.
  • Assist with general database auditing and maintenance; fixing error and updating donor information as needed.

Clerical/Other Duties (50% of time)

  • Manage all aspects of the annual CAT Calendar fundraiser by preparing for, tracking, and fulfilling online orders as well as coordinating off-site sales.
  • Assist with monthly accounting reconciliation by preparing monthly accounting reports and assisting the development and accounting teams with researching reconciliation issues.
  • Assist with writing and updating department standard operating procedures.
  • Perform other clerical duties as needed, such as assisting with department-related copying, filing, document preparation, etc.

  • Computer programs, including Microsoft Office (Excel is a must), Google Suite, DonorPerfect, Square

Qualifications and Experience:

Necessary

  • High school diploma or equivalent
  • Data entry experience
  • Proficiency in Microsoft Office programs--Excel is required

Preferred

  • 1+ years of database/data entry experience

Mental Effort: This position has regular variation in tasks, but most are routine and repeated. The job holder must also manage details, changing priorities, and workflow interruptions.

Work Environment

Work in this position is performed within an office setting onsite at the animal shelter with some ability for partial remote work. Typically the work environment is well-protected and free from hazards or obstacles. Job conditions are usually comfortable, with only minimal issues of confinement, temperature change, noise, smell, interactions of a disagreeable nature, exposure to contagious zoonotic disease, emotional taxation due to the nature of animal welfare, etc. Job conditions are occasionally uncomfortable relative to noise, temperature, smell, and/or dirty conditions. With that said, the worker may be occasionally exposed to the following:

  • Distressed animals that put the worker at risk for injuries such as bites and scratches
  • Animal urine, animal feces, animal vomit, animal blood, animal fur
  • Medications used to treat animals
  • Disinfecting agents such as bleach and Rescue®

Pay Range: Position starts at $21-23/hour
