HR Coordinator

The HR Coordinator provides administrative and operational support for Human Resources and Talent Acquisition functions. This position is responsible for coordinating recruiting activities, administering HR processes, maintaining employee records, supporting employee lifecycle activities, and ensuring accurate and timely completion of HR transactions.

The HR Coordinator serves as a key point of contact for employees, managers, and candidates regarding HR procedures and employment-related inquiries. The role follows established policies, procedures, and guidelines while delivering a high level of customer service and maintaining the confidentiality of employee information.

Responsibilities

Talent Acquisition Support

  • Coordinate recruiting activities in partnership with the Sr. Talent Acquisition Partner and hiring managers.
  • Review applications against established job requirements and assist with candidate screening activities.
  • Conduct initial candidate screens using predefined criteria and interview guides.
  • Schedule interviews and coordinate interview logistics, including calendars, conference rooms, candidate travel arrangements, and interview schedules.
  • Prepare interview materials, candidate itineraries, and hiring-related documentation.
  • Serve as the primary onsite contact for candidates during interview visits.
  • Maintain applicant tracking system (ATS) records and ensure candidate information is accurate and up to date.

Human Resources Operations

  • Administer day-to-day HR processes and provide support throughout the employee lifecycle.
  • Coordinate leave of absence administration, including tracking requests, maintaining documentation, monitoring deadlines, and preparing employee communications.
  • Maintain accurate records related to leave administration, accommodation, and return-to-work documentation.
  • Coordinate employee separations, including exit documentation, system updates, property collection, and exit interview scheduling.
  • Process employment verification requests and maintain supporting records.
  • Coordinate unemployment and disability claim responses and documentation.
  • Assist employees with routine HR-related questions and direct more complex matters to appropriate HR team members.
  • Prepare employment documents, employee notifications, and HR correspondence.
  • Ensure the timely and accurate completion of HR administrative tasks and transactions.

Employee Experience and Engagement

  • Coordinate new hire onboarding activities and orientation programs.
  • Prepare onboarding materials and ensure completion of required employment documents.
  • Support employee engagement initiatives, recognition programs, wellness activities, and company events.
  • Coordinate logistics for employee meetings, training sessions, and engagement activities.
  • Assist with culture committee initiatives and employee participation efforts.
  • Support communication of employee programs and workplace activities.
  • Maintain records related to participation and program administration.

HR Systems, Reporting, and Compliance

  • Maintain employee information within HRIS, applicant tracking systems, and other HR-related platforms.
  • Audit employee records to ensure accuracy, completeness, and compliance with recordkeeping requirements.
  • Create, update, and maintain HR forms, templates, checklists, and standard operating procedures.
  • Generate recurring HR reports and verify data accuracy.
  • Compile information and prepare reports for HR team review.
  • Process personnel file updates, employee status changes, and organizational record maintenance.
  • Assist with handbook, policy, and HR communication updates as directed.
  • Coordinate labor law posting updates and monitor posting compliance requirements.
  • Maintain documentation and personnel records in accordance with company policies and applicable regulations.

Training and Development Support

  • Coordinate training schedules, meeting logistics, and participant communications.
  • Register employees for training programs and maintain attendance records.
  • Track training completion and maintain employee training records.
  • Prepare training materials and support program administration.
  • Assist with reporting and documentation related to training initiatives and compliance requirements.
Qualifications
  • Bachelor's degree in Human Resources, Business Administration, or a related field preferred; equivalent combination of education and experience may be considered.
  • Three to five years of experience in Human Resources, Recruiting Coordination, HR Administration, or a related support role.
  • Experience supporting recruiting processes, employee onboarding, leave administration, and HR operations.
  • Working knowledge of federal and California employment laws and leave administration processes.
  • Experience using Human Resources Information Systems (HRIS) and Applicant Tracking Systems (ATS); UKG and Lever experience preferred.
