JOB DESCRIPTION

Position Title: Athletics and Student Life Coordinator

Employment Classification: Full-time, Salary, Exempt

Reports to: Head of School

Position Summary: The Athletics and student Life Coordinator oversees Samueli Academy’s athletic programs and key student activities for grades 7–12. This position supervises coaches and the Athletic Assistant and coordinates athletic events, transportation, facilities, and student life activities while ensuring safety and compliance with school and CIF requirements.

Requirements:

Major Areas of Responsibility:

Athletics

  • Oversee all interscholastic athletic programs and supervise the Athletic Assistant and coaches.
  • Recruit, train, support, and evaluate coaches, ensuring adherence to safety, fundraising, financial, and school procedures.
  • Oversee 1-2 larger fundraising events a year for athletics
  • Schedule athletic contests, facilities, transportation, and officials, including contracts, communication, payment approvals, and on-site support.
  • Coordinate and supervise home contests and serve as host for visiting teams and officials.
  • Ensure compliance with CIF, league, state, and school requirements, including monitoring student-athlete eligibility.
  • Manage athletic budgets, purchasing, contracts, and payment approvals in collaboration with school administration.
  • Manage athletic facilities and coordinate the safe use and maintenance of athletic equipment.
  • Communicate regularly with student-athletes and families regarding schedules, eligibility, expectations, and program updates.
  • Coordinate senior nights, athletic banquets, awards, and other recognition events in collaboration with coaches.
  • Promote sportsmanship, inclusion, accountability, and positive student experiences.
  • Maintain athletic calendars, schedules, communications, records, and reports.

Student Life

  • Coordinate schoolwide field trips and activity transportation and related logistics.
  • Coordinate senior eligibility and senior activities in collaboration with school staff, including overseeing high school graduation.
  • Maintain senior event calendars, schedules, communications, records, and reports.

General Responsibilities

  • Follow Samueli Academy policies and procedures.
  • Perform other duties as assigned.

Knowledge, Skill, and Experience Requirements:

  • Bachelor’s degree preferred.
  • Experience in athletic administration, coaching, student activities, or school operations preferred.
  • Knowledge of CIF rules and student-athlete eligibility requirements preferred.
  • Strong leadership, communication, organization, and problem-solving skills.
  • Spanish-language proficiency preferred.
  • Ability to work evenings and weekends based on athletic and school event schedules.

Working Environment/Physical Requirements:

  • The work environment includes administrative duties in school and office settings, as well as frequent work in gymnasiums, athletic fields, and other indoor and outdoor event spaces.
  • The position requires regular attendance at games and school events in varying weather conditions.
  • Physical requirements include standing, walking, sitting, typing, bending, and regularly lifting, carrying, and moving athletic equipment weighing up to approximately 50 lbs.
  • Evening and weekend work and local travel may be required.
  • Possess a valid California driver’s license and proof of automobile insurance. Position requires DMV clearance.
  • Pre-employment screenings include criminal background check, FBI/DOJ fingerprinting, TB test, drug screen, and previous employment verification.
