Asset Maintenance Coordinator
Department: Collections Systems
Reports To: Asset Maintenance Administrator

Summary:
This position provides frontline leadership by supervising crews, assigning daily work, monitoring work quality, and ensuring compliance with safety rules, policies, and procedures. The coordinator is accountable for maintaining a safe working environment, resolving operational challenges, coaching staff, and supporting employee development and performance documentation.
The coordinator is responsible for daily planning, organizing, and overseeing activities for the maintenance of gravity storm and sanitary sewer. This role ensures all maintenance tasks are completed efficiently, safely, and according to department policies and standards. The coordinator balances workforce capacity, equipment availability, and other resources to accomplish goals.
The role also includes administrative responsibilities such as updating maintenance records, reviewing QA/QC data, preparing reports, documentation, managing labor hour approvals, and participating in hiring, evaluations, and payroll verification.
Strong system knowledge, communication skills, planning ability, and familiarity with sewer cleaning and inspection technology are essential.
Overall, the Coordinator ensures crews are supported, work is delivered safely and efficiently, data is accurate, and all maintenance goals are consistently met.
Key Responsibilities
- Manage schedules for stormwater and sanitary sewer systems.
- Oversee daily operations, task assignments, and resource utilization for multiple crews and Team Leaders.
- Ensure compliance with safety standards, regulatory requirements, and organizational policies.
- Coach, mentor, and evaluate Team Leaders and field crews to maintain high performance and quality.
- Promote teamwork, collaboration, and effective communication.
- Promote cross-training opportunities between groups.
- Lead process improvement initiatives to optimize efficiency, productivity, and service quality.
- Serve as the primary operational liaison between crews, Administrators and other stakeholders.
Skills & Competencies Required for Successful Performance
Technical & Operational Knowledge
- Strong understanding of stormwater and sanitary collection systems
- Knowledge of sewer repair, rehab, replacement, inspection and cleaning processes, workflows, and field methods.
- Ability to evaluate equipment capabilities, limitations, and proper applications
- Proficiency in using asset management, mapping (GIS/ArcMap), Microsoft Office, and reporting software
- Ability to interpret and analyze reports, maps, inspection results, and asset condition data
- Familiarity with maintenance scheduling concepts, including rotation frequency and prioritization models (BREs, condition rating, system performance trends)
Leadership & Supervisory Skills
- Ability to lead and manage multiple field crews and contractors
- Skill in coaching, mentoring, and developing team members, including evaluating strengths and performance gaps
