Reporting/Department Head: Practice Manager

Major Function: Responsible for the effective operation of your Health Center including outstanding customer service, quality patient care, efficient patient flow, error free patient data entry, required medical records management, team productivity and site budget control. The Assistant Practice Manager will work closely with the Practice Manager, senior management, physicians, nurses, medical assistants, support staff and colleagues to direct, lead, and oversee the day-to-day operations of the health center.

Job Duties include, but not limited to (subject to change):

  • Assists the site PM or superior personnel with the following duties:
  • Identifies problems and develops recommendations for resolution.
  • Assumes personal responsibility for ongoing professional growth and development.
  • Continuously assesses and improves department’s performance.
  • Assist with providing orientation, in-service training, and continuing education of department staff when needed.
  • Assists the Practice Manager in planning, organizing, staffing, managing, and controlling the operations of the center.
  • Supervise all line personnel; motivate staff to perform their duties to the best of their abilities.
  • Provide nursing services to patients while ensuring a safe environment of care
  • Reduce risks of nosocomial infections in patients, employees and visitors
  • Oversee patient data collection and ensure its integrity.
  • Assist Practice Manager to ensure that billing information is processed and forwarded to the corporate office by the following day; ensure that all fees are collected, safely stored, and deposited as per policy.
  • Prepare facility for smooth and efficient daily operation.
  • Monitor and ensure that all expenses are within budget guidelines.
  • Ensure compliance with all policies and procedures, and ensure the center operates in accordance with contractual obligations.
  • Assist Practice Manager to ensure the proper safeguarding and maintenance of all company and medical records, and that the center is following all state and federal regulations.
  • Prepare all assigned mandatory reports accurately and in a timely manner.
  • Ensure vaccine inventory is reconciled weekly.
  • Assist Practice Manager with staff competencies and evaluations.
  • Ensure daily, weekly, bi-weekly, and monthly logs are completed in a timely manner.
  • Oversight of vaccine and medication ordering.
  • Assist with the handling of patient complaints.
  • Assist Practice Manager with regulatory compliance, including, Ambulatory Licensing, CLIA/lab, DEPE, Federal Requirements, HIPAA, FQHC, etc.

OTHER JOB DUTIES:

  • Identifies patients
  • Prepares patient record
  • Prepares patient for exam
  • Administers prescribed medications
  • Assists provider during exam
  • Takes and records accurate vital signs
  • Selects and completes all required forms for medical visits
  • Maintain and update emergency boxes and oxygen
  • Reviews discharge instructions with patients
  • Performs charge responsibilities as assigned
  • Completes logs and syringe counts
  • Completes medication logs and scanning
  • Oversees stocking of all medical supplies
  • Performs and documents call-back/triage responsibilities
  • Maintains immunization statistics
  • Renews prescriptions in accordance with approved refill guidelines
  • Monitors each chart in awaiting reply at nursing box and responds as necessary
  • Performs nursing box transcriptions of orders correctly for each chart as assigned
  • Completes patient orders in the electronic medical record
  • Ensures completion of all necessary templates in the electronic medical record
Requirements:

Qualification: Graduate of an accredited nursing program

  • 1 – 2 years of nursing and supervisory experience preferred
  • A current license from the State Board of Nursing
  • CPR certified
  • Excellent communication and problem-solving skills
  • Ability to navigate electronic medical record systems.
  • Excellent interpersonal skills and the ability to work effectively with all members of the healthcare team.
  • Commitment to professional growth and development in a dynamic, forward-thinking organization
  • Demonstrated knowledge in the role of every medical emergency.
  • One to three years’ experience in a healthcare supervisory or charge nurse roll.
