Job Description
GENERAL STATEMENT OF DUTIES:
In collaboration with and in support of the Director of Alumni Relations, this position coordinates and executes alumni engagement programs, events, and communications for Framingham State University.
This role plays a key operational and programmatic support function in advancing the University's alumni engagement strategy. Responsibilities include event execution, communications coordination, alumni affinity group management, volunteer management and CRM/data management. The position supports the University's strategic priorities by ensuring high-quality implementation, consistent communication, and strong constituent experiences.

EXAMPLES OF SPECIFIC DUTIES AND RESPONSIBILITIES:
Strategic & Programmatic Support
- Support the Director of Alumni Relations in the execution of the University's alumni engagement strategy.
- Assist in tracking key performance indicators (KPIs) for events, communications, and engagement initiatives.
- Support collaborative programming with campus departments that connects alumni with academic and student experiences.
Event Coordination & Execution
- Coordinate and execute alumni events and programs in alignment with University strategy, including logistics, registration, and on-site support.
- Support planning and implementation of signature events (e.g., Alumni Weekend, Homecoming) under the direction of the Director.
- Maintain and update the master calendar of alumni events and communications.
- Supervise and support student workers assisting with events and alumni programs.
Affinity Groups & Volunteer Support
- Support alumni affinity groups through coordination of communications, meetings, events, and volunteer engagement activities.
- Coordinate logistics and communications for volunteer-led initiatives (e.g., reunion committees, mentorship programs) in partnership with the Director.
- Track participation and engagement metrics for affinity groups and volunteer activities.
Communications & Marketing Execution
- Draft and coordinate promotional content for alumni events and initiatives, aligned with overall communications strategy set by the Director.
- Assist with the execution of alumni communications, including newsletters, surveys, and targeted outreach.
- Collaborate within the Office of Development and Alumni Relations to ensure timely and consistent messaging.
Data Management & Reporting
- Utilize the existing Customer Relationship Management CRM system to create invitation and outreach lists, manage event registration and attendance tracking, record alumni engagement and volunteer activity
- Ensure timely and accurate data entry and maintenance.
Constituent Services
- Provide responsive, professional support to alumni, assisting with inquiries and connecting them to engagement opportunities.
- Support stewardship and recognition efforts for alumni volunteers and participants.
General Support
- Support department-wide initiatives, projects, and events as needed.
- Perform other duties as assigned.
- Accountable for ensuring that equal opportunity, inclusion, and equity are integrally tied to all actions and decisions in areas of responsibility.
WORKING CONDITIONS:
Office setting and occasional travel to sites outside of Framingham State University for events. Some evening and weekend work is required.
Job Requirements:
MINIMUM QUALIFICATIONS:
- 1-3 years of experience in alumni relations, advancement, event management or a related field.
- Strong organizational and project management skills.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Demonstrated initiative and ability to work both independently and collaboratively.
- Strong interpersonal skills and ability to build relationships with alumni, volunteers, and colleagues.
- Some evening/weekend work is required.
PREFERRED QUALIFICATIONS:
- Experience in higher education, nonprofit, or advancement environments.
- Proficiency with CRM systems (e.g., Virtuous, Raiser's Edge, Salesforce).
- Experience supporting volunteer programs, committees, or affinity groups.
Additional Information:
This is a full-time, exempt, benefits-eligible position in the Association of Professional Administrators (APA) bargaining unit with a union title of Associate Director. The starting salary range is $65,000-72,000.
