About This Position

Performs a wide range of program assistance and administrative support including registration and receptionist services related to the delivery of Community Education and Workforce Development (CEWD) courses and programs.
MAJOR DUTIES & RESPONSIBILITIES
- Responds to student and client inquiries; provides course information to prospective students, including information on course changes or cancellations. Answers calls and emails and directs to appropriate department staff or takes messages.
- Processes course registrations and records in using various internal software applications.
- Liaises with the supervisor and other TRU Departments to assist with program planning and delivery.
- In coordination with other team members, supports programs and workshops by collaborating on deliverables, ensuring materials are available, and coordinating shared equipment.
- Prepares and maintains course setup, class lists, course reconciliations, and course completion requirements.
- Secures sufficient facilities, and ensures supplies and resources are available for course delivery and instructors within current TRU procedures.
- Prepares a variety of documents including correspondence, contracts, evaluation summaries, curriculum preparation, and memos.
- Maintains the department database of statistical course information, instructors, contract agencies, and stakeholders.
- Sets up and maintains filing systems (paper and electronic).
- Assists with financial reporting including tracking expenses and providing financial updates on course deliveries. Also makes travel arrangements for instructors to travel to various communities.
- Maintains the web page, and social media accounts and assists with online and pprint advertising.

Community Coordinator
EDUCATION:
- Grade 12 plus a one-year Business certificate or equivalent
EXPERIENCE:
- Two years’ related experience, including one years’ experience in program delivery and one years’ experience with Microsoft office and website software
SKILLS, KNOWLEDGE OR ABILITIES RELATED TO THE JOB
- Ability to perform electronic word processing at 60 wpm and data entry
- Ability to deal courteously and tactfully with students, staff and members of the general public
- Ability to communicate effectively both verbally and in writing
- Ability to operate related equipment
- Must be fluent in database, desktop publishing, spreadsheet, and word processing software
- Proven ability to work independently as well as part of a team
- Ability to plan, organize, and prioritize tasks and meet deadlines while maintaining accuracy and attention to detail
- Class 5 driver’s license
WORKING CONDITIONS
- Sitting at a desk and computer for a period of time
- Extensive contact with students, staff, and the general public
- General office conditions
- Travel required
