The Maintenance Planner & Administrator – Ennis is responsible for supporting the maintenance department through effective planning, scheduling, coordination, and administrative control of maintenance activities. This role manages maintenance work planning within the CMMS, coordinates parts and materials availability, communicates with vendors and internal stakeholders, and maintains accurate records to support safe, efficient, and reliable plant operations. The Maintenance Planner and Administrator - Ennis works independently while collaborating closely with Maintenance Technicians, Operations, and the Maintenance Manager to reduce downtime and improve maintenance effectiveness. The position reports directly to the Maintenance Manager – Ennis.
DUTIES & RESPONSIBILITIES:
Specific duties include but are not limited to the following:
1. Utilizing CMMS, create and manage daily, weekly, monthly, and extended maintenance plans; manage Preventative, Proactive, Reactive, and Corrective maintenance w/ assistance from the Maintenance Technicians and Manager.
2. Communicate and plan work with Operations to minimize impact to production and maximize maintenance effectiveness.
3. Analyze equipment history/performance and apply findings to plan maintenance proactively; effectively reducing machine downtime.
4. Coordinate and liaison between Vendors and the Maintenance Team to perform and complete work in a timely manner.
5. Perform resource coordination for technicians, ensuring all tools, parts, materials, and relative information (i.e., Work Orders, previous work performed, documentation) are available before regular planned work needs to occur.
6. Manage supplies and parts inventory for maintenance and facilities utilizing CMMS and Microsoft Excel.
7. Organize purchasing quotes, execute orders, and handle vendor communications with guidance from the Maintenance Manager.
8. Track parts cycle counts and manage warranty related communications.
9. Stock/Re-stock new and existing parts inventory per department and company standards.
10. Organize, sort, and standardize parts/supplies area with assistance from the Maintenance Technicians and Manager.
11. Audit processes and develop corrective actions for discrepancies in Maintenance Work Stream.
12. With assistance from the Maintenance Manager, develop and implement documentation to support processes.
13. Coordinate material deliveries/returns with vendors and perform material deliveries/retrievals utilizing a company vehicle.
14. Accurately record expenditures into maintenance ledger.
15. Perform other basic administrative tasks such as communication via email and phone, restocking forms, managing key control, data entry, etc.
16. Work independently and with little to no supervision to complete workload and meet target goals in a safe and timely manner.
17. Maintain housekeeping in all areas of assigned responsibility to ensure a safe, clean, and neat work environment.
18. Completes paperwork and maintains maintenance records in CMMS system.
19. At times provide administrative support to Human Resources and Environmental, Health, and Safety departments
20. Adhere to company safety, environmental, quality and personnel policies.
21. Performs other duties as assigned by Maintenance Manager.
QUALIFICATION REQUIREMENTS:
Qualifications may include, but are not limited to:
• Bachelor’s degree in related field or 4 years of related experience without a degree
• At least 1 year of experience in an industrial or manufacturing environment, preferably supporting maintenance or facilities operations
• Minimum of 1 year experience using a Computerized Maintenance Management System (CMMS) or similar electronic work management system
• Prior experience in customer service, purchasing, or vendor-facing roles preferred
• Experience with maintenance planning, scheduling, inventory management, or parts coordination preferred
• Familiarity with general industrial maintenance concepts and terminology
• Coursework, certification, or experience in electronics, automation, or technical disciplines a plus
• Strong organizational and time-management skills with the ability to plan, track, and manage multiple maintenance-related activities
• Proficiency in Microsoft Office applications, with emphasis on Excel and Word for tracking, reporting, and documentation
• Communicate effectively in English, both verbally and in writing, with maintenance personnel, operations, and vendors
• Work independently with minimal supervision as well as collaboratively within a team environment
• Must have and maintain a clean driving record and pass motor vehicle report (MVR) checks
• Safely and effectively operate a Company vehicle as required
• Authorized to work in the United States without current or future sponsorship

• Use of computer, phone, and other office equipment, including copier/scanner, printer
