Description:
William Ryan Homes is looking for a highly self-motivated Closing Coordinator/Administrative Assistant to become an integral member of the Dallas Division located in Farmers Branch, TX.
The ideal candidate is a quick learner, precisely organized, possesses strong attention to detail and is an excellent communicator. The candidate will assist the Division Office Manager with a variety of tasks including, but no limited to, processing new sales contracts, coordinating closings, saving/distributing documents, coding invoices for Manager approval, drafting documents, and maintaining accurate files on the company share drive and builder software.
Duties and Responsibilities include:
- Data Entry in Brix, Brix Sales and Buildpro
- Understanding of Company and Customer responsibilities documented in the Agreement for Purchase of New Home
- Assist in maintaining office phone, voicemail, and mail systems, birthday calendars, division phone directories
- Maintain organized and accurate files on company share drive, Brix, Brix Sales and Buildpro
- Assist in the execution of all administrative tasks relating to the WRH Business process
- Cross-train for Starts and Closings administrative tasks to ensure competency in all administrative functions
- Assist in review of sales contracts, distribute approved contracts to lender/title.
- Communicate with lender/title regarding closings.
- General office duties such as copy, file and distribute documents, as needed
- Run, audit, and distribute reports for Division and Corporate Office
- Other duties as assigned
Requirements include:
- Excellent oral and written communication skills
- Must be highly detail-oriented and organized
- Excellent time management skills, Ability to prioritize tasks and meet deadlines
- Self-Starter
- Microsoft Office Suite
Education/Other Requirements:
- High School diploma or equivalent
- Three years office experience
- Prior experience in residential homebuilding highly preferred
- Experience with Brix and Buildpro production scheduling system preferred
