SUMMARY: QSG is seeking an experienced, proactive Controller to own the full financial operations of the company. This is a hands-on leadership role responsible for the accuracy and timeliness of all financial reporting, management of the accounting team, and delivery of actionable financial insight to the Owner. The ideal candidate brings deep accounting expertise, strong team leadership, and the ability to build and maintain financial processes in a fast-moving managed services environment.
This is not a back-office processing role. We need a Controller who communicates proactively, closes the books on time every month, and functions as a true financial partner to leadership.
ESSENTIAL DUTIES AND REPONSIBILITIES:
Financial Reporting & Close
- Own the monthly, quarterly, and annual financial close process on time, every time
- Prepare accurate P&L, balance sheet, and cash flow statements with commentary
- Deliver monthly financial reporting packages to ownership with insight, not just numbers
- Maintain a rolling 13-week cash flow forecast and flag risks proactively
- Oversee reconciliation between accounting systems (QuickBooks Online and Halo PSA)
Team Leadership & Communication
- Directly manage accounting staff (currently 2 team members: AP/AR and billing functions)
- Establish clear role accountability, task ownership, and communication cadence within the team
- Conduct regular 1:1s and team check-ins; surface issues before they become problems
- Serve as the primary accounting point of contact for ownership and department heads
Accounts Payable & Receivable Oversight
- Oversee AP aging and ensure timely, accurate vendor payments with no duplicate payments
- Manage AR aging; escalate and enforce collections on delinquent accounts per policy
- Enforce credit holds on delinquent clients; do not authorize work without ownership approval
- Identify cost reduction opportunities across vendor contracts, SaaS licenses, and circuits
- Prepare and submit accurate biweekly payroll to the company's PEO, ensuring timely processing, proper coding of compensation and deductions, and reconciliation of payroll records to the general ledger
MSP Financial Metrics & Reporting
- Track and report on MSP-specific financial metrics including Monthly Recurring Revenue (MRR), Annual Recurring Revenue (ARR), gross margin by service line, cost per technician, and client profitability
- Manage the production of the annual budget and forecasts, incorporating headcount planning, technology costs, and service contract projections
- Calculate and communicate budget variances with actionable commentary not just numbers
- Deliver financial analyses focused on managed services contract pricing, renewal decisions, new client onboarding economics, and technology investment ROI
- Maintain and report on asset tracking including hardware, software licenses, and leased equipment
Controls & Compliance
- Design and enforce internal financial controls appropriate for a $10M services company
- Manage escheatment compliance for stale credit balances
- Coordinate local, state, and federal tax filings and compliance reporting
- Coordinate with outside CPA firm and provide information to external auditors as needed
- Maintain vendor contract tracking and flag renewals, price changes, and obligations
- Coordinate and maintain business, auto, cyber, and workers' compensation insurance changes and renewals
Systems & Process Improvement
- Leverage PSA and RMM platform integrations (Halo PSA, QBO) to improve efficiency and accuracy in financial reporting
- Identify and close gaps in existing accounting SOPs and workflows
- Improve reporting infrastructure to deliver timely, useful data to leadership
- Drive automation and efficiency where applicable across the accounting function
QUALIFICATIONS:
Required
- Bachelor's degree in Accounting, Finance, or Business Administration or equivalent experience
- 10+ years of progressive accounting experience, including time in a Controller or senior accounting leadership role
- Demonstrated experience managing a small accounting team
- Strong command of GAAP and financial reporting standards
- Proficiency in QuickBooks Online (QBO) or comparable accounting platforms
- Proven track record of on-time monthly close
- Exceptional organizational skills and attention to detail
- Strong written and verbal communication able to translate financials into plain business language
- Ability to work independently and take ownership without being managed
Preferred
- Experience in managed IT services, technology services, or a similar recurring-revenue environment
- Familiarity with PSA platforms (ConnectWise, Halo, Autotask, etc.)
- Experience working directly with a business owner or principal in a lean finance structure
- Background in AP/AR oversight, vendor contract management, and cash flow forecasting
