About This Position
POSITION IMPACT
AICA Orthopedics manages a high volume of personal injury and medical cases across 21 locations in metro Atlanta. This role keeps those cases moving — owning workflow coordination, systems accuracy, and operational reporting for the sales and revenue team from intake through resolution.
The foundation we're hiring for is strong personal injury or medical case management experience. If you know how PI cases move — law firm, healthcare provider, or revenue cycle — and you're comfortable working across CRM and case management systems, the rest of this role is something you can grow into. Sales operations exposure is a plus, not a prerequisite.
During the first 90–120 days this role includes executive support for the EVP of Growth and Marketing while the function scales. That component diminishes over time.
CORE RESPONSIBILITIES
Sales Operations
- Support account managers and patient advocates on high-priority accounts so case coordination stays consistent at scale
- Ensure data integrity across Salesforce, NextGen, and ECM so billing and collections are never blocked by system errors
- Identify workflow gaps across the revenue team and escalate or resolve before they affect outcomes
- Own process documentation so operational knowledge is retained as the team grows
Case Management
- Own personal injury and medical case workflows from intake through resolution across assigned accounts
- Keep case records complete, compliant, and audit-ready at all times
- Serve as escalation point for complex cases requiring coordination across clinical, legal, and revenue teams
- Advance stalled cases through proactive follow-up with attorney offices and insurance carriers
Reporting
- Pull and distribute operational reports for sales and revenue leadership from existing systems and dashboards
- Deliver accurate, timely reporting on case volume, workflow status, and team performance — no follow-up required
- Flag data trends or anomalies that need leadership attention
Executive Support (Transitional — First 90–120 Days)
- Manage EVP calendar, meeting coordination, and briefing preparation while the function is being established
- Draft correspondence and materials on behalf of the EVP for internal and external stakeholders
PERFORMANCE EXPECTATIONS
- Personal injury and medical case workflows current, complete, and audit-ready across all assigned accounts
- System data in Salesforce, NextGen, and ECM accurate with discrepancies resolved before they reach billing
- Leadership receives reporting on schedule — accurate, complete, no follow-up needed
- Workflow issues identified and resolved before they affect downstream revenue
QUALIFICATIONS
Required
- 2+ years of personal injury or medical case management experience — law firm, healthcare provider, or revenue cycle
- Proficiency with CRM and case management systems — Salesforce, NextGen, ECM, or comparable platforms
- Ability to navigate existing reporting systems and pull accurate, timely reports for leadership
- Strong organizational skills and attention to detail in a high-volume environment
- Clear communicator across legal, clinical, and operational teams
Preferred
- Experience on both the provider and legal sides of personal injury case management
- Background in sales operations, revenue cycle, or healthcare operations
- Familiarity with medical liens, settlement processes, and attorney collections workflows
- Experience in orthopedic or neuro-spine medical environments
