About This Position
As an Onboarding Specialist, reporting to the Manager, HR Shared Services, you will support the HR and recruiting teams in coordinating and facilitating the recruitment process. Your role will involve managing the administrative and logistical aspects of hiring, ensuring a seamless experience for both candidates and internal stakeholders. You will be key in helping the organization attract top talent by managing communication, scheduling, and ensuring that all necessary documentation and background checks are completed.

Job Responsibility
Responsibilities:
- Coordinate end-to-end onboarding activities and provide administrative support to the recruiting team.
- Schedule and complete onboarding calls with new hires as received by the Talent Acquisition Partner.
- Prepare and deliver necessary onboarding correspondence.
- Work directly with hiring managers prior to new hires start date.
- Partner with HR, IT and hiring managers to ensure readiness for new hires.
- Act as a primary point of contact for new employees, answering questions and providing assistance throughout their onboarding journey.
- Process and follow up on background checks and reference verifications as needed.
- Handle all pre-employment records, paperwork, and documentation related to hiring and compliance requirements.
- Maintain accurate records in HR systems and track completion of onboarding tasks.
- Support new hire onboarding activities, including preparing documents and coordinating orientation schedules.
- Collaborate with the HR and recruiting teams to continuously improve the hiring process and candidate experience.
Performs other functions to maintain personal competence and contribute to the overall effectiveness of the department by:
- Completing other job-related assignments and special projects as directed.
ORGANIZATIONAL RESPONSIBILITIES
Associate complies with the following organizational requirements:
- Attends and participates in department meetings and is accountable for all information shared.
- Completes mandatory education, annual competencies and department specific education within established timeframes.
- Completes annual employee health requirements within established timeframes.
- Maintains license/certification, registration in good standing throughout fiscal year.
- Direct patient care providers are required to maintain current BCLS (CPR) and other certifications as required by position/department.
- Consistently utilizes appropriate universal precautions, protective equipment, and ergonomic techniques to protect patient and self.
- Adheres to regulatory agency requirements, survey process and compliance.
- Complies with established organization and department policies.
- Available to work overtime in addition to working additional or other shifts and schedules when required.

Job Qualifications
Education and Experience
- High school diploma or equivalent required. Bachelor's degree in human resources, Business, or a related field (or equivalent experience) preferred.
Knowledge & Skills
- Familiarity with Applicant Tracking Systems (ATS), HRIS, and onboarding tools.
- Strong interpersonal and communication skills, with the ability to interact professionally at all levels of the organization.
- Strong project management and process improvement experience.
- Exceptional organizational and multitasking abilities.
- Detail-oriented with a focus on delivering an outstanding candidate experience.
- Knowledge of employment law and HR best practices related to hiring and onboarding.
- Proven experience as a Recruitment Assistant, HR Assistant, or in a similar support role.
- Familiarity with the full hiring process, including sourcing, screening, interviewing, assessments, and onboarding.
- Hands-on experience with applicant tracking systems (ATS), recruiting software, and social media platforms (e.g., LinkedIn) for candidate outreach.
- Ability to work both independently and collaboratively in a fast-paced environment.
- Strong organizational and time management skills, with the ability to prioritize tasks effectively.
- Exceptional attention to detail and accuracy in handling documentation and data.
- Excellent verbal and written communication skills, with the ability to interact professionally with candidates and stakeholders.
- Strong problem-solving skills, with the ability to think quickly and address issues as they arise.
Preferred Skills:
- Experience in a fast-paced or high-volume recruitment environment.
- Proficiency with HR software and tools.
- Experience implementing or improving onboarding processes.
